Job description
Apex Talent Recruitment is a leading recruitment firm specialising in the real estate industry. We are currently seeking a highly organised and detail-oriented Executive PA to join our client's team. As an Executive PA, you will provide comprehensive support to the Chief Executive and play a crucial role in ensuring the smooth operation of his daily business activities.
Responsibilities
- Managing complex calendars, scheduling meetings, and coordinating travel arrangements
- Actively participating in meetings, taking detailed minutes, and following up on action items
- Handling sensitive and confidential information with the utmost professionalism and discretion
- Conducting research and preparing reports, presentations, and correspondence
- Screening and directing phone calls and emails, responding promptly and efficiently
- Collaborating with cross-functional teams, ensuring effective communication and timely follow-up
- Assisting in the preparation of board meeting documentation
- Managing and organising files, documents, and records
- Coordinating special projects and events, both internally and externally
- Providing general administrative support to the executive team as needed
Requirements
- A minimum of 3 years of experience as an Executive PA or in a similar role
- Strong organisational and multitasking skills, with the ability to prioritise effectively
- Excellent written and verbal communication skills, with a keen eye for detail
- Proficient in Microsoft Office Suite and other relevant software
- Proven ability to work well under pressure and meet tight deadlines
- Exceptional problem-solving skills and a proactive approach to work
- Strong interpersonal skills and the ability to build and maintain relationships
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion
- Knowledge of the real estate industry not required, as long as you have an inquisitive mind
- Manage a Junior Business Assistant
- Able to work from the office full time Monday-Friday
- A career-oriented individual
- Can demonstrate commitment and being readily available for the CEO as required, including probable out of hours calls and work (inclusive of weekends)
- Highly presentable and polished
- Bachelor's degree, but not mandatory
