8.15am- 4.45pm Mon-Thursday & 8.15-12.30pm on Friday

I am working with a large engineering company recruiting for an Information Controller on a full time basis, based Denham site.

You will report to the Company Data Coordinator and be using Sharepoint as the main Document Control system. The ideal candidate must be a Sharepoint super user.

The purpose of the role is to assist the business with handling and controlling company data, promoting best practice approaches, and monitoring compliance for document control and information security on a daily basis.

There will be lots of departmental interaction and stakeholder management across the whole organisation, encouraging the business to embrace SharePoint as a brilliant information hub.

The use of IT automation continues to grow across the business the role holder will support the business with developing and maintaining IT automation with exciting apps and tools that include M365 technologies (such as Power Automate, Microsoft Forms, Microsoft Teams and Power BI) Adobe Sign and running VLookups in Excel for comparisons.

Areas of Responsibility:

-Provide Document Management support, advice and training to all users, enabling correct use of the SharePoint System, throughout the whole document lifecycle, as defined by Information Management policies, processes and procedures.Be involved with site creation, site design (webparts), adding of users, retrieval (search), metadata, review and acceptance workflows, and versioning.
-Control (uploading) of data to sites.
-Update and maintain Company Intranet site, including issue of newsflashes.
-Provide support, advice and training to all users, enabling correct use of apps, including M365 apps (Power Automate, Power BI, MS Teams, MS Forms), run VLookups in Excel for list comparisons, Adobe.
-Migrate data from Network Drives to SharePoint.
-Maintenance of automation using tools such as Visual Basic Applications (VBA) / Power Automate / PowerShell.
-Support with running compliance checks to ensure system integrity, such as running site retention checks.
-Prepare reports to ensure information is processed to required compliance standards.
-Participate proactively in business improvement initiatives for information management systems, processes and procedures.

Role Requirements - Knowledge, Experience and Skills:

-Extensive knowledge and experience using document management systems / enterprise content management systems.
-Proficiency with Microsoft Excel, ability to fluently run VLookups to compare data sets.
-Highly desirable - experience of running file bulk uploads / meta changes using any software tools such as VBA macros, Power Automate and PowerShell.
-Keen to learn new skills, enthusiastic, pragmatic and professional perspective.
-Proven attention to detail, a thorough, accurate and concern for all areas involved.
-Driven to achieve results - enjoys setting own standards and checking work.
-General knowledge of M365 and Adobe applications/products.
-Strong communication skills.
