Job description
Job Summary
To support the Bid Team in all aspects of written documentation relevant to the tendering process. Additionally, the bid support will provide administrative support, creative input and secretarial duties within the team.
Principal Responsibilities
- Effectively working within the bid team to successfully achieve company and individual goals and objectives relating to the accurate and timely submission of tenders at the enquiry stage.
- To take ownership of and undertake written responses for tenders, PQQ’s, RFQs and other bids/submissions for contracts.
- To manage the tender’s inbox and distribute/action as required.
- To complete Bid Reviews extracting key details from tender documents and collating them within a form for a streamline Bid/No Bid decision
- To maintain and control a Bid Library of organisation documents, accreditations, policies, and procedures that are relevant to tendering. The Bid Library shall remain current and up to date on an on-going basis.
- Ensure that the content of each tender fulfills client’s requirements and timescales.
- Maintain an up-to-date knowledge of the business and the services it offers to ensure that relevant and advantageous details are included in the bids.
- Co-ordinate with other teams and individuals within the business to gain client or region-specific information to support the content of the bid writing.
- Liaise with appropriate commercial and mobilisation team members to ensure the adequate hand-over of documentation/information following the award of contracts.
- Attend progress meetings as required, to review and report on the progress being made on the tender return.
- Maintain post-tender communications with sales & operations teams to evaluate the company's position with each submission, and to ensure continuous customer satisfaction.
- To effectively manage and co-ordinate recording of bid submissions and documentation using the companies IT systems.
- To liaise with our group Commercial Manager to assess tender risks, i.e. payment terms, bonds, type of contract (NEC, JCT etc).
- To discuss and obtain approval from Directors where terms are assessed as 'risk' by our Commercial Manager.
- Maintain the highest levels of commercial confidentiality in all aspects of employment.

- Direct experience of proposal, bids, and tender writing within a fast-paced environment.
- Ability to apply common sense and a flexible approach.
- Understanding of diverse client needs.
- Commercial skills.
Desirable:
- Previous experience working within the Fire and Security industry.
- Knowledge of British Standards and Fire & Security legislation.
- Knowledge of Health & Safety practices and standards.
