LOCATION: Old Town – Swindon
SALARY: £23,000 to £25,000
JOB TYPE: Permanent 37.5 hours a week Monday to Friday 9am to 5.30pm
Although this is a full-time appointment, candidates looking for part-time or shorter working hours will be considered.
Role Purpose
We are seeking an experienced Secretary to assist the Managing Director and associated professional team. Based in Swindon. Our client is a multi-disciplinary professional practice, which covers Architecture, Urban Design, Landscape Architecture, Graphic Design, Environment and Town Planning.
As Secretary you will provide secretarial, administrative, organisation, professional and business support to the MD along with other members of the professional team, with flexibility to provide support to cover a number of support roles.
- A wide variety of secretarial and administrative duties primarily for the Managing Director, including audio and copy typing, preparation and production of correspondence and reports.
- Ideal candidate will have experience with InDesign and/or Photoshop and be able to prepare and amend documents. Experience of Powerpoint would be an advantage.
- Maintenance and updating of company website using WordPress.
- Specific project work, such as research, monitoring and ensuring deadlines are met, to support the MD.
- Maintain and improve relationships with old, new and existing clients, including marketing and business development.
- Monitoring tender portals and preparation and submission of tender documentation.
- Ensuring that the Company adheres to its Quality Assurance obligations by the maintenance of reference documents and liaison with the QA Manager.
- Preparation of documents for contracts.
- Co-ordinate and facilitate human resource administration procedures and documentation for the office; co-ordinate recruitment, as appropriate.
- To act as main point of contact for the IT Manager in terms of troubleshooting and coordination.
Experience Required
- Previous experience as a professional Secretary, ideally within a professional office environment.
- Excellent PC skills including the software skills set out above.
- Strong grammar and vocabulary skills, with high level of attention to detail.
- Well organised with strong interpersonal and communication skills to deal with individuals at all levels.
- Professional telephone manner.
- Ability to work on own initiative as well as part of a team.
- Ability to work under pressure and to tight deadlines.
- Flexibility in terms of working hours.
