Job description
As we continue to expand, we are seeking a highly organised and proactive Office Manager to join our team.
This individual will play a pivotal role in managing day-to-day operations, including holiday scheduling, Time Management System (TMS) administration, implementing a new production management system, and handling customer queries with extreme professionalism. The Office Manager will be responsible for ensuring the smooth functioning of administrative tasks within the butcher team. This role requires a meticulous and detail-oriented professional with excellent organizational and communication skills.
RESPONSIBILITIES WILL INCLUDE:
- Coordinate and manage employee holiday schedules, ensuring adequate staffing levels at all times
- Collaborate with team leaders to create a comprehensive holiday schedule that aligns with business needs
- Oversee the maintenance of the Time Management System
- Train new team members on TMS personal usage and troubleshoot any issues that may arise
- Generate reports and analyse data from the TMS to optimize workforce efficiency
- Work closely with the team to implement a new production management system
- Provide training and support to team members during the transition period
- Collaborate with IT and other relevant stakeholders to ensure a seamless integration
- Serve as the primary point of contact for customer queries related to orders, deliveries, and product information
- Work closely with the sales teams to address and resolve customer concerns promptly
- Implement effective systems to track and document customer interactions for continuous improvement
- Assist in general administrative tasks such as filing, data entry, and maintaining office supplies
- Manage communication channels within the team and ensure information flow is efficient
- Act as a liaison between management and team members, fostering a positive and collaborative work environment
THE SUCCESSFUL CANDIDATE WILL HAVE:
- Proven experience in office management or a related administrative role
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Familiarity with Time Management Systems and production management systems is a plus
- Customer-centric mindset with a focus on problem-solving
