Job description
The post holder will play an important role within the wider Admin Team for NHS Talking Therapies to provide efficient and comprehensive administration support to clinicians and managers.
The post holder must demonstrate a caring, positive, compassionate and sensitive approach to their work in order to support patient care and be able to communicate effectively with colleagues, the general public and representatives from other organisations. We have a full electronic patient record which is central to our work and vital that you have previous experience of using a clinical data base. The successful candidate must show a positive approach to change who are supportive of service improvements.
To provide administrative support, including reception duties, for the North Warwickshire and Rugby NHS Talking Therapies Team.

Acts as the first point of contact, by telephone, face to face and email, for the NHS Talking Therapies team, communicating messages to staff and clients. Provide administrative services to clients some of whom may be emotional or irate handling this client contact with tact and diplomacy. Liaise closely with staff within the NHS Talking Therapies team, including other departments and the wider Trust. Prepare letters, reports and other documentation for members of the NHS Talking Therapies team, working from both hand written and audio notes. Take minutes of meetings as appropriate To photocopy documents and distribute as required and to promote economical use of this facility. To use relevant in house IT systems to communicate with NHS Talking Therapies staff throughout the service.
Analytical and Judgemental Skills/ Freedom to Act
To work as an integral part of the NHS Talking Therapy locality team, providing a comprehensive service using word processing, spreadsheets, databases and email To assist managers and colleagues to establish and maintain effective systems to monitor and meet trust procedural guidelines. ie. ESR, sickness monitoring and handling routine correspondence as delegated on behalf of the NHS Talking Therapies teams and managers. Required to work with minimal direct supervision, work is managed rather than supervised although support and guidance available from line manager as required. To collate and update team resources to be distributed appropriately.
Handling incoming and outgoing mail. Provide cover for other administrative colleagues within the NHS Talking Therapy service during periods of absence.
Respond to straight forward queries relating to the service. Responsible for ensuring that they operate in accordance with Trust wide Policies and Procedures and any local service protocols. Participate in the clinical governance framework within the team identifying areas of service that may raise concern and report to the line manager. To strictly observe the policy on confidentiality To support the NHS Talking Therapies Group Co-ordinator to develop administrative processes in the service and respond to key internal and external stakeholder expectations by contributing ideas and feeding back relevant information relating to their role. To attend comms and Team meetings where appropriate.
