Commercial Agency Surveyor – Plymouth - Miller Commercial – The Business Property Specialists
Background: Listers Property Consultants Ltd is a Plymouth based commercial property agency specialist wholly owned by Miller Commercial LLP. The two organisations work closely together and provide advice across Devon and Cornwall and the wider South West. The group is active in the fields of commercial agency, business transfer including licenced and leisure premises, property management, professional services and building surveying.
Role Summary: To assist in the delivery of all aspects of a market leading property agency service across Plymouth and Devon in accordance with the firm’s contractual obligations to its clients.
Location: The role is Plymouth based and will involve travel across Devon and East Cornwall.

Key Responsibilities & Attributes: Market a diverse portfolio of commercial property with a high degree of autonomy, but delivered within contractual and statutory requirements, efficiently and effectively to maximise returns for our clients and profitability for the group.
To ensure that both the policies of the Listers/Miller Commercial Group and requirements of the RICS are consistently delivered.
Understanding of commercial property agency practices, ensuring proactive and effective marketing of our clients’ assets, together with lease and sale negotiation, clear concise communication to our clients, and applicants, to effect the leasing and/or sale of our instructions.
To have complete IT literacy, with particular emphasis on the use and manipulation of Microsoft Outlook, Word and Excel, within which you should be able to produce, programme or modify spreadsheets. Our database is run on Caldes, a bespoke property agency package.
Have or obtain a thorough understanding of commercial leases and property/agency legislation and practice.
Liaise in a timely manner with clients and colleagues in the management of leasehold and freehold agency instructions and be able to work with other departments in the business to be able to provide reasoned advice and basic leasehold and freehold market appraisals for our clients.
To be responsible for conducting viewings at premises and meeting clients and applicants and demonstrate the inter-personal skills required to create effective business and professional relationships.
To carry out property inspections in line with current RICS guidelines and understand how different types of property need to be measured.
To undertake rental and capital valuations and prepare client reports for marketing purposes.
To be able to manage a busy diary of inspections, viewings and market appraisals efficiently
To receive enquires from tenants, clients, colleagues and other stakeholders concerning the portfolio and deal with those enquiries and issues in a professional and timely manner.
Attend in-house training/CPD events as may be organised from time to time.
Work in conjunction with colleagues towards achieving personal and team targets in accordance with the company’s performance management system.
Assist with business development by, for example, attending business networking functions which may include out of hours activities and to develop your professional network throughout the region.
To work at a standard expected of a firm of Chartered Surveyors.
Any other activity that may reasonably be required by the Partners from time to time.

Providing a full treasury/bookkeeping and accounts administration role for the Property Management Department and accounting support services to the firm. This will include liaising directly with clients, tenants and suppliers.
Any and all duties required for the efficient and smooth running of the office which include but not limited to:
• Work with property managers within the Property Management Team and carry out all aspects of rent and service charge tasks for your own property portfolio including arrears chasing together with the preparation of Accounts, Statements and Reconciliations; payment of creditor invoices approved by property managers; liaising with property managers over service charge reconciliations and budget preparation.
• Liaising with client finance teams and advisors in providing financial reports from Tramps.
• Receipt of daily monies into the Miller Commercial Client account and complete timely Bank Reconciliations.
• Use of our Banks online payment system to post payments to our creditors.
• Taking all card payments via telephone and maintaining the system and ensuring compliance to PCI.
• Maintaining Petty Cash.
• Maintaining logical and up to date filing systems.
• Using established computer systems and facilities within the Company primarily TRAMPS and Caldes.
• Dealing with all correspondence and communication in accordance with Miller Commercial’s policies and procedures.
• Excellent use of Microsoft Office, particularly Excel.
• Updating and maintaining office diaries, calendars, emails, telephones, filing and any other system.
• Maintain good public relations.
• To comply with the requirements of the Royal Institution of Chartered Surveyors, as a member or as part of a member firm, as appropriate.
• To be familiar with SAGE Accounts to ensure cover as required to enable holiday/sickness cover and assistance to the Head of Accounts.
• Any other activity that may reasonably be required by the Partners from time to time.
