The selected candidate will deliver administrative support to the team. This role demands an individual who is highly motivated, adaptable, and skilled in general administrative functions, with good interpersonal and organisational abilities.
You will have will have experience of administration in a customer / patient facing role. Knowledge of Electronic Health Records and patient booking systems would be desirable experience.
A crucial part of this position is communicating with patients, managing appointments, processing referrals, organising meetings, accurately recording minutes, and maintaining records using the latest templates. The candidate must work well within a team.

Duties andResponsibilities
Communication and Working Relationship Skills
Provide and receive routine information requiring tact orpersuasive skills, where there may be barriers to understanding.
Deals with enquiries from external stakeholders and thepublic.
Be an integral link and point of contact between and for managers andtheir administration provision.
Work within a multi-disciplinary environment ensuring thatcommunication with appropriate team members is effective and contemporary.
May be requested to communicate complicated and sensitive information.
Analytical and Judgemental Skills
To receive and open mail (paper and electronic as necessary) anddistribute/despatch accordingly ensuring appropriate action is taken withhigh priority material.
To manage both telephone and face to face contacts with distressedservice users in a supportive manner.
Judgement involving facts or situations, somerequiring analysis.
Resolve conflicting diary appointments or schedules.
Planning and Organisational Skills
Arrange meetings and appointments for members of the team.
Support the arrangement of meetings for external agencies asrequired.
Prioritise workload with particular consideration to issuesarising.
Plans own workload to ensure that weekly,monthly, quarterly and annual tasks are met.
Adjust clinic times as required
Responsibility for Patient/ClientCare, Treatment and Therapy
Assist patients during incidental contact, to provide non-clinicaladvice or information to patients/relatives or carers.
Communicate information relating to appointments.
Responsibility for Policy and Service DevelopmentImplementation
May be asked to contribute to audit and research projects within theservice to inform service development and standards.
Adhere to all Trust and departmental policies and procedures relatingto their role, may be required to comment on reviews. This will include theutilising the most up to date templates as required by the CorporateDevelopment Service.
Engage in local review of administration services.
Responsibility for Finance, Equipment andOther Resources
The post holder will order stationery and other necessaryitems for the team via the procurement system.
Order and maintain stationery and storesstocks; may be responsible for petty cash float.
Responsibility for HumanResources, e.g. Supervision, Training, HR Advice and Management
Supporting the induction of new staff members as required.
Demonstrates own activities to new starters.
Provide day to day supervision to support administrators.
Responsibility for Information Resources andAdministrative Duties
Produce confidential correspondence and reports.
Maintain efficient and effective electronic filing system/s.
Take and distribute formal minutes as necessary.
Keep up to date patient clinical records and amend asappropriate.
The post holder will be partly responsible for ensuringaccurate and up to date data is recorded onto electronic records systems, andthat this information is communicated with the team and other professionalsas required.
Responsibility for Research and Development
Undertake surveys or audits as necessary toown work.
Freedom to Act
Work is managed rather than supervised.
Accountable for own actions manager is available forreference.
Manages own workload.
Any Other Specific Tasks Required
Provide cover for colleagues when and where necessary.
Work pattern will be predictable .
