Finance Assistant:
Birmingham
Temporary Vacancies:
£13.43 per hour
To provide financial support to the finance team and the wider business and to process transactions in relation to accounts receivable and accounts payable.
About The Finance Assistant position:
- Responsible for the posting of invoices / credit notes to the system
- Proactively investigate open purchase orders, liaising with suppliers, finance colleagues and the wider business to ensure prompt payment of invoices
- Prepares monthly supplier statement reconciliations
- Maintains both supplier and customer information
- Ensures compliance with financial procedures
- Pro-active involvement in the chasing of debtor balances
- Records customer payments and ensures the correct allocation to the customer account
- Inputs transactions into the finance system and prepares weekly payment runs
- Undertakes reconciliations and other year-end/month-end tasks as required.
- Assists the Financial Accounting and Controls Manager with yearend audit preparation
- Process Staff Expense Claims
- Manage requests sent to the Finance mailbox, triaging queries, resolving, redirecting and escalating as appropriate to ensure prompt and accurate resolution.
- Prepares daily cash balances and investments to assist the Transactions Manager with cashflow forecasts
- Responsible for preparing monthly balance sheet reconciliations for review and investigation and clearance of reconciling items
- Analysis of expenses and preparation of journals
- Provide efficient and effective support in the operation of financial controls
- Systematically monitors and reconciles the finance system, for example, access rights and HR data in the system.
- Supporting the Finance Transactions Manager and Financial Accounting and Controls Manager
- Support in ad-hoc projects (e.g. review of access rights for segregation of duties, review licensing requirements by reviewing access rights versus live worker profiles)
- Proactively identifies areas for financial process improvement and makes proposals to management for implementation
- Works collaboratively with internal and external stakeholders to ensure timely and accurate delivery
- Maintaining the robustness of the finance system and supporting the control environment.
- Maintain records within the finance system, ensuring they are up to date including employees, budget holders and project structures
- Maintain worker relationships in the system to ensure financial approval workflows are maintained.
- Monitor and collect records of gifts and hospitality monthly to ensure compliance with Anti-Bribery and Corruption policy and prepare a quarterly report for the Audit and Risk Committee
Experience/ Skills required for the Finance Assistant position:
- Excellent attention to detail and ability to work through large volumes of data with a high level of accuracy
- Highly numerate
- IT literate and strong understanding of MS computer packages with advanced excel skills
- Experience of working in a finance department
- Ability to work with confidential data
- The ability to work proactively, flexibly and to take responsibility for resolution of any issues, and strong time management skills.
- Ability to work effectively as part of a team and able to use own initiative whilst managing own workload
- Excellent organisational skills and ability to prioritise work
- Basic understanding of VAT and taxation rules
- Maintaining detailed timetables ensuring individuals are aware of their deliverables
- Previous experience of using Microsoft finance solutions.
- Undertaking or willing to undertake further training to enhance financial knowledge, skills and qualifications
