Job description
The University of Aberdeen is co-leading a prestigious £10.9M UKRI AI Centre for Doctoral Training (CDT) in Agri-Food Sustainability (SUSTAIN - https://www.sustain-cdt.ai/). The project involves the University of Lincoln (lead), the University of Strathclyde and the Queen’s University Belfast. To support the local delivery of the project we are seeking an enthusiastic individual to provide high-level administrative and personal assistant support to the CDT, the CDT’s co-Director (Prof Georgios Leontidis, Interdisciplinary Director for Data and AI) and the PhD students (Aberdeen-based and visiting ones).

The post holder will have a thorough understanding of UKRI guidelines, and provide support and guidance to the students and academics regarding University guidelines and procedures. They are expected to work on their own initiative and prioritise their workload to meet tight deadlines. The post holder is also expected to use their judgement to deal independently with queries and problems on a daily basis.
The post holder will have experience in a busy office and be able to demonstrate an ability to work to challenging deadlines and prioritise tasks to achieve results. Excellent presentation skills and the ability to respond quickly to changing circumstances are essential.
Key duties, some of which will be relevant for only a few times a year, attached to this role are:
Administration support for the co-Director’s activities and diary;
Oversee the recruitment – liaising with the central Lincoln team; advising Aberdeen applicants if they have been shortlisted and organising interviews; sending out Aberdeen SUSTAIN Offer Letters; providing data as required to the central Lincoln team;
Supporting students in the Aberdeen PhD application and enrolment processes;
Student support/wellbeing and collating student data/feedback;
Budget work – collating receipts and timesheets, completing Quarterly Claim forms;
Organising Aberdeen-led events and training, supporting events led by partner institutions as required;
Organising the Aberdeen taught modules and other training activities;
Communications with Aberdeen staff, students, and co-investigators;
Overseeing Aberdeen’s SUSTAIN website page;
Facilitating Aberdeen outreach activities;
Other activities as required by the SUSTAIN Project Manager;
Attend regular meetings with SUSTAIN Admin Teams from partner institutions.
Salary will be at the appropriate point on Grade 4, £26,444 per annum pro rata. This is a fixed-term post for 18.75 hours per week, it can be discussed on how this will be worked. The post is available from 1 April 2024 to 31 October 2031.
The postholder will be physically based at the Postgraduate Research School, but the role might relocate to an Academic School or the Vice Principal's office in the future (with no change of duties). The place of work, in all cases, will be the Old Aberdeen campus.
