Overview
Our client is an international communications firm advising ambitious, complex organisations.
Part- time Hours: Monday to Friday, 27 hours
Salary: £21,000/yr – £25,000/yr
The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks, will be exceedingly well organised and flexible, and will enjoy the administrative challenges of supporting a global operational team. This individual must be able to function effectively in a variety of roles within a dynamic environment under minimum supervision.
The Role:
- This position requires frequent communication and coordination with staff across international offices.
- Provide day-to-day support to Global Chief Operating Officer, and the operational and finance team in US and UK
Executive Team Support
- Schedule and maintain calendar of appointments, meetings and travel itinerary for team leads and executives.
HR
- Assist with benefits and human resources administration; maintain discretion with regards to employee issues that may arise.
- New employee on-boarding
Finance
· Assist in payroll and invoicing, petty cash and expenses
IT
- Be first base resolution for IT and phones issues.
- Organise IT on boarding for new employees
General admin
- Manage office subscriptions
- Research, place orders and liaise with vendors.
- Assist in the development of presentations, reports, proposals and marketing materials.
- Maintain up-to-date records for all shared company files.
- Liaise with landlords, building management and contractors for the maintenance of offices.
- Manage and maintain company mailing lists; send relevant newsletters and marketing collateral out to lists when appropriate.
- Coordinate shipping, receiving and production/printing of large documents.
- Research, facilitate and organise events and sponsorships.
The Person
- Experience in an office administrative role
- Advanced skill level in Microsoft Word, Excel and PowerPoint
- Understanding of basic finance
- Excellent verbal and writing skills

- Energetic, self-starter and resourceful problem solver. High attention to detail, and the ability to work effectively under pressure while meeting all applicable deadlines.
- Remain calm and professional in stressful situations.
- Must be able to work independently and productively with minimum supervision; able to manage multiple projects.
- Strong research and writing skills, with the ability to manage a project from start to finish.
- Remain discreet about confidential employee information, including but not limited to benefits data, employee addresses and employee relations issues.
