Job description
You will be responsible for the day-to-day running of RWS’s UK office estate including Chalfont St Peter (Head office), Maidenhead and overseeing facilities management at our offices in Alnwick, Sheffield and Nottingham.
You will ensure all properties are fully compliant with all regulations and RWS group-wide policies, well maintained and operating in a cost effective and efficient manner providing an environment which is safe and secure, while managing a small team to support delivery.
The Facilities Manager and Support Services is part of RWS UK Executive Services Team who oversees the maintenance and day to day operation of reception, buildings and infrastructures to ensure all facilities are functioning optimally and safely providing colleagues and visitors with a great work environment that reflects RWS and our values.
Key Responsibilities
- Building trusted and positive relationships with our onsite Site Leaders/Office Managers at to ensure they are supported in all matters relating to facilities and H&S and that the properties are fully compliant.
- Support the group-wide carbon reduction programme by sourcing and capturing carbon emission related information for all UK offices, striving to get actual information wherever possible.
- Take the lead in all facilities related operations for Chalfont St Peter and Maidenhead offices and manage Front of House Reception teams in both locations.
- Review all current facilities’ contracts with a view to maximising efficiencies, improving environmental reporting and/or redefining the scope of services to ensure they are all fit for purpose.
- Develop and manage operational budgets for all properties.
- Implement and manage property related capital expenditure projects ensuring that deadlines, budgets and compliance with statutory requirements are adhered to.
- Oversee management of office-related emergency events (during and out-of-office hours) to ensure safety and business continuity at all our UK offices.
- Manage the tender processes for all facility-related services at all UK offices in conjunction with Procurement and ensure agreed contract engagement guidelines are adhered to at all time.
- Providing a seamless transition when implementing changes in suppliers.
- Manage the UK Facilities Supervisor based at Chalfont St Peter office, responsible for the day-to-day maintenance and compliance of our Chalfont St Peter offices.
- Update the Head of Executive Support regularly on current and future projects.
- Provide monthly update report on progress and expenditure.
- Responsible for reviewing and maintaining security arrangements at all offices including guarding, access control, CCTV and fire and intruder alarms.
- Maintain and update the ICET H&S platform, ensuring accurate and informative content is available at all times.
- Review and authorise supplier invoices, contracts and purchase orders in conjunction with the UK Facilities Supervisor.
- Manage property projects such as office moves, office refurbishments, office disposals, and newly acquired offices.
- Manage outsourced facilities service providers in all the offices, including cleaners.
Skills & Experience
- Significant experience in senior facilities management roles
- Hold a NEBOSH General & Fire Certificate or equivalent in Health and Safety & Fire Management.
- Proven experience in the management of H&S as Facilities Manager demonstrating UK best practice in the day-to-day management of large buildings.
- Understanding of the requirements and able to ensure compliance of ISO 14001 (Environmental) and ISO 45001 (Health & Safety).
- Experience of BMS and HVAC systems.
- Experience of managing multiple sites.
- Financially and commercially aware.
- Strong customer focus.
- People management experience.
- Excellent communication skills, including experience of working effectively with colleagues, stakeholders at all levels.
- Excellent social and interpersonal skills, with the ability to develop relationships with internal personnel and key external contacts.
- Highly organised and self-motivated, with excellent time management skills and an ability to think proactively.
- Available to travel to all RWS UK office locations as required.
- Full clean UK driving licence and own transport.
- Strong multi-tasking abilities.
