Job description

Role Overview

To assist with the management (as part of the Chelmsford Rural Management team) of property portfolios, predominantly across Essex. The properties form part of larger estate portfolios (generally rural) owned by institutional and private estate clients which are managed in-house by Savills. The properties include a mix of residential, commercial and agricultural assets let under a variety of lease types. To provide first class customer service to clients. To also assist the team with professional consultancy and project work on behalf of clients across Essex and Suffolk, including utility projects where required.

Key Responsibilities

PROPERTY MANAGEMENT: 

• Primarily assisting in the management of a multi-location property portfolios across farms and rural estates (residential, commercial, agricultural and miscellaneous assets). 

• Liaising with and acting as the main point of contact for tenants, occupiers, contractors and clients on maintenance issues and organising timely repairs.

• Undertaking and overseeing the management of both planned and reactive works between and during tenancies including the preparation of specifications, obtaining quotations and instructing contractors.

• Working with the compliance co-ordinator to keep all statutory Health and Safety inspections up to date.

• To assist with the co-ordination and undertake an annual property inspection programme for both let and vacant properties and completion of associated inspection reports.

• Responsibility for ensuring the timely payment of rents and collection of arrears in conjunction with the credit control team.

• Undertaking rent reviews.

• General property administration including lease/licence renewals.

• Assisting with the preparation of client reports and attending client meetings as required.

• Assisting with the preparation and management of budgets and reports.

• Liaising with the accounts team and other Savills departments.

• To undertake the process of taking properties back in hand, refurbishing, marketing to let, selecting prospective tenants, tenant referencing, property agreements and concluding new lettings.

• To adhere to all company processes with regards to people management and to role model professional behaviours at all times. 

PROFESSIONAL CONSULTANCY: 

• As and when required, to assist the team with its consultancy and project work, including utility project work across Essex and Suffolk. 

• To assist with the production of professional reports and photographic schedules of condition.

• To liaise with affected landowners and assist the project manager with all aspects of the project. 

• To maintain landowner and property records on the relevant database. 

Key Skills

Experience: 

• Experience in property management and lettings. 

Technical experience: 

• Full UK driving licence and own car

• Customer / client facing experience

• Excellent computer skills, particularly in Excel, databases and ability to pick up new software quickly

• High efficiency, organisational and time management skills

• Excellent attention to detail and accuracy. 

Skills and Knowledge: 

• Articulate with strong written and verbal communication skills

• Ability to work effectively with individuals at all levels

• Flexible ‘can do’ attitude and willingness to learn

• Self-motivated and able to use own initiative

• Ability to work under pressure and to deadlines

• Professional manner

• Team player. 

Team Overview

The successful candidate will be part of the Chelmsford Rural Management team, a small and friendly team made up of a Director, an Associate, Surveyor and Estate Administrator. The Rural team sits within the larger multidisciplinary open-plan Chelmsford office of around 40 staff.
