Job description
Working alongside the Team Leader, to ensure that an efficient and caring service is provided to all patients within the relevant sub-specialty clinics and services you are responsible for. The post holder will assist the Team Leader in directly managing the outpatient clinic coordinators allocated to their sub-specialties. To deputise for the Team Leader to ensure service continuity when they are absent. To provide a professional, comprehensive and efficient reception and administration service to the Trusts outpatient clinics. To promote a positive image of the Trusts outpatient services through the provision of excellent customer service to patients, relatives/carers and external stakeholders, demonstrating a commitment to putting patients first. To be responsible for ensuring high standards of data entry and quality are achieved and sustained across all services, in both paper and electronic record-keeping. To ensure adherence to the Trusts Access Policy at all times. Book all transport and interpreting services, ensuring that any specific requirements are communicated in a timely manner. MAIN RESPONSIBILTITES To work in conjunction with the Team Leader to ensure the outpatient clinics run smoothly on a day to day to day basis, handling issues as they arise. To assist the Team Leader to ensure that health and safety standards are maintained within the departments at all times and notify the appropriate manager or representative for any action required. To undertake risk assessments and take action when required. To act when required as the first line of investigation with regards to all complaints relating to A&C staff and administrative systems and to forward responses to the Team Leader. To operate an efficient outpatient appointment system within the service, monitoring clinic profiles to ensure that they booked to the individual requirements of each service and that any overbooking issues are flagged to the Team Leader as soon as possible. To ensure that all outpatient reception staff are collecting and inputting ethnic coding and up to date patient demographic details on PAS on the day of patients attendance, ensuring that the Team Leader is informed of any individual not meeting this standard. To ensure that Outpatient staff cash up within 24 hours of the clinic taking place and alerting the Team Leader of any areas not meeting this standard. To support the Team Leader and Clinic Manager with the KPI weekly reports. To attend relevant meetings for the purpose of disseminating information to the staff and contribution to discussions for the maintenance and improvement of the services provided. To work with the Team Leader to regularly review the service provided to patients and ensure that it is both appropriate and of the highest quality and to take part in initiatives designed to improve both these aspects of service as requested, e.g. conduct of care. To assist in the gathering and collation of outpatient audit data. To ensure all clerical equipment and stationary supplies are suitably maintained and any faults reported promptly; to be responsible for ordering stock and equipment for the department.
