Job description
DUTIES AND RESPONSIBILITIES Operational / Administrative Management and configuration of Healthroster. Developing marketing and communication material (within a project library) through various mediums including (but not limited to): Microsoft SharePoint Microsoft Office Email To create regular reporting and forecasting tools direct from the e-Rostering dashboard. To manage and prioritise the e-Rostering Inbox and team calendar, ensuring adherence to our Service Level agreements To coordinate and maintain the eRostering team Standard Operating Procedures (SOPs) To support the Project Lead in the production of regular updates and reports on project progress and input into the development and preparation of project initiation documents and plans Answer, manage and prioritise helpdesk calls on behalf of the team. Wherever possible resolve low-level helpdesk calls before escalating to a coordinator To run the payroll lock down each month and to facilitate units in finalising rosters To maintain the team Intranet by uploading news items and documents Deal effectively and promptly with incoming enquires in line with the Data Protection Act Provide timely written and verbal responses to ad hoc queries from staff, co-workers and managers Participate in the review and audit of the department policy, processes and procedures and comment on changes To attend meetings internally and externally and feedback to wider team To keep up to date with system updates and developments and the implications for service delivery and to assess and communicate any impact they may have on related projects To support the Project Lead in the implementation of additional eRostering modules & systems Responsible for the preparation and distribution of KPI reports either on a 4 weekly or Monthly basis To lead in analysis and audit of information produced by the Allocate software suite. To provide project support on specific elements of the eRostering project where requested e.g. technical issues To proactively identify and make an assessment of potential issues and risks and suggest possible solutions to the Project Lead. To order any necessary supplies required e.g. stationery COMMUNICATION eRostering Steering Group (local and collaborative). Staff and managers at all levels within the Trust Other Trust departments; Workforce, Occupational Health, Payroll, Finance, School of Oncology and other internal departments as required Other NHS Trusts and external organisations as necessary To provide, receive, and deal on a daily basis with sensitive and confidential information / personal staff details. To use verbal, written, e-mail and telephone methods to communicate with staff at all levels TRAINING AND DEVELOPMENT Identify own training needs, in consultation with line manager, and attend relevant courses / study days to enhance personal development Attend and actively participate in an Annual Personal Development Review Be willing to demonstrate your duties to new starters or less experienced staff ORGANISATIONAL RESPONSIBILITIES To be aware of/maintain an up to date knowledge of information governance, data protection and confidentiality and to incorporate it into daily practice at all times TECHNICAL Development of technical documentation such as databases, spreadsheets and website content Production and manipulation of large data sets using BI Intelligence (ESRs reporting tool) and Microsoft Excel Understand technical systems and applications such as ESR, Sharepoint, Websites and Microsoft products To be responsible for supporting the inbound absence & attendance interface between ESR & Healthroster Regular occupation code validation to ensure our Trust make up is accurately reflected to external sources & data collections. To run the standard data cleansing report on a monthly basis, identify missing information and work with managers to populate gaps. To monitor data quality on an ongoing basis and to coordinate annual personal data verification exercises on a Trust wide basis
