Job description
DUTIES AND RESPONSIBILITIES Business Performance To be responsible to the Business Support Manager for ensuring data quality issues areaddressed in line with business requirements. To prepare reports for analysis and interpretation as directed as indicated by the services. Ensuring business processes are followed and any systems or operational issues are reportedback to the Business Support Manager. To access the business management systems as directed by the management team. To undertake audits as directed by the Locality management team. To support the Business Support Manager to maintain the locality patient records system andstorage in line with Trust policies. To monitor customer satisfaction via appropriate systems and implement improvements asdirected by the Business Support Manager. Operational Management Receive and investigate informal complaints and any complaints as designated by the BusinessSupport Manager. To support the Business Support Manager in the implementation of administrative systems andorganisation of admin support. To report sickness for identified staff and arrange sickness reviews and support plans in linewith Trust policy. To ensure health and safety issues around the locality buildings are monitored and reported tothe appropriate departments. Responsible for ensuring data is being entered onto the Clinical and Patient AdministrationSystem(s) appropriately, accurately and within deadlines by administrative staff, within sphereof responsibility. Communication To lead and co-ordinate regular designated Admin staff meetings to ensure staff are keptinformed of locality and organisational objectives and updated with service developments. To support the management team in staff involvement in locality and organisational change. To communicate Service Line Reporting to admin staff and the implications in relation to activitydata, performance and effectiveness. Finances & Resources To support the Business Support Manager in administering the delegated admin budget, toensure most efficient and effective use across the locality. To be an authorised signatory as directed by the Business Support Manager To advise the Business Support Manager of potential pressures in regards to resources. Service Development To lead on specific development work as designated by the Business Support Manager. To liaise closely with the Business Support Manager to improve services provided. Responsible for implementing relevant policies and suggesting changes to work practices /procedures in own work area. Knowledge & Training Responsible for own personal development including training as identified and supporting theBusiness Support Manager in the development of the admin team. Produce detailed reports/statistics as necessary. To ensure that all staff maintain a clear code of conduct and high standards of customer servicein terms of dignity, respect and excellent customer service to all internal and externalcustomers. Supervisory Responsibilities To supervise identified admin staff across the locality. Be responsible for appraisals and supervision for identified admin staff as per Trust policy. Monitoring mandatory training for the Admin staff as delegated. Responsible for carrying out detailed induction to new and temporary admin staff. General Attend and contribute to all internal/external meetings as relevant to the post. Responsible for own typing. Work closely with other supporting services on behalf of the Locality management team. To undertake any other appropriate tasks as requested by the Business Support Manager tomeet the needs of the service.
