Job description

My client, established in 1989, is an independent specialist membership group for nurses and healthcare professionals with an interest in dermatology. Nationally they promote the highest standard of care for the patient and provide recognition of the nurse’s role. They support the education and ongoing professional development, acting as a source of expertise for nurses facing clinical and managerial challenges. They run a series of UK wide conferences to help provide a forum for the dissemination of developments and knowledge in the field of dermatology nursing.

They now seek to recruit a part-time permanent Office Administrator to support the CEO, Executives and Operations Manager. You will have responsibility for the day-to-day administration of the office along with co-ordination of regional and national educational events.

Key responsibilities: -

- Effective provision of reception function/cover, dealing with telephone calls, emails and mail promptly.

- Provide administrative support to the CEO and Executive team at committee meetings including meeting room booking and minute taking.

- Ensure all systems are kept up to date including membership and event databases.

- Provide administrative support for Committee as directed by the Operations Manager. This may include attendance at meetings, minute taking and general administrative support.

- Management of the Office diary.

- Ensure the smooth running of the office including liaising with members and sponsors.

- Ensure all equipment is operational, reporting failures to CEO.

- Undertake tasks to assist CEO and Executive in regards to the financial governance, undertake banking as required.

- General Office Administration including diary management, ordering marketing material, controlling stationery etc

Educational Events

- Register delegates for meetings, sending out confirmation in a timely fashion.

- Manage events database.

- Book travel/accommodation for speakers as required.

- Prepare delegate packs.

- Attendance at educational events throughout the UK upon agreement (Approx. 10 per year, good advance notice will be given.)

The ideal candidate will have: -

- Excellent organisational skills and an ability to plan, organise and prioritise workload to meet deadlines and adapting to changing priorities.

- Excellent verbal and written communication skills, with high level of IT competence in Microsoft Office. Experience in the use of CRM’s

- Ability to work in a methodical and organised way with a flexible approach to work.

- Great attention to detail, and capable of working on own initiative without supervision.

- At least 5 GCSEs at Grade C or above including English/Maths.

You must have 2-3 years’ experience of working in an Administration / Events Coordinator role. The post requires a high level of self-management, effective time management and ability to work on own initiative without supervision. It is a varied and rewarding role where your positive attitude will contribute to the smooth running of the organisation. You will enjoy interacting with people, be a natural communicator and enjoy multi-tasking in a professional office environment.

Starting salary of £12,300 for 20 hours per week on offer. 20 days holiday plus 10 stats (Pro Rata), pension scheme. Monday to Friday, Start/finish times can be flexible on agreement. Work occasional outside of core hours, time off in lieu will be given. Smart offices based in Lisburn.
