Our client is looking for a Personal Assistant for an Initial 12 month contract position, located in Aberdeen (Hybrid Working)
Administration role to provide support for the Energy Transition Director and Strategy & Business Development Director and their teams, ensuring optimum use of their time with a focus on smooth running and efficiency.

Our client is looking for a Personal Assistant for an Initial 12 month contract position, located in Aberdeen (Hybrid Working)
ROLE
- Administration role to provide support for the Energy Transition Director and Strategy & Business Development Director and their teams, ensuring optimum use of their time with a focus on smooth running and efficiency.
- Provide support to the Executive Assistant and CEO Office as required.
RESPONSIBILITIES
- Provide personal assistant support of a responsible and highly confidential nature in support of Energy Transition, Business Development & the CEO office including:
- Management & coordination of logistics and diaries for both internal & external meetings for the ET and BD Directors and teams;
- Co-ordinate and book travel arrangements, plan itineraries and process expenses;
- Send out letters and emails and draft more complex correspondence for managers’ final approval;
- Attend meetings and take minutes as required;
- Manage department procurement card;
- Work primarily with the Executive Assistant and at times with other PAs, sometimes taking the lead, to arrange internal events in all offices/sites (Town Halls, coffee sessions) and to collate information with the comms team for internal briefings
- Co-ordinate, along with the Internal Comms team when appropriate, attendance at external events e.g. business breakfasts, awards, etc.
- Organise and prepare complex documents requiring the integration of multiple office technology and software applications;
- Raise requisitions in SAP as required, following through with SES numbers and checking payments are forthcoming. Acting as go between with vendor and finance department and dealing with queries. Monitor budget spend for POs within departments and flag to appropriate person when reaching limit; and
- Follow the safety and environmental policies, guidelines and procedures as directed by the business unit.
REQUIREMENTS:
- Strong organisational & planning skills essential
- Able to work proactively, being self-motivated and flexible
- Sound general administration skills
- High School/College education required minimum
- Personal Assistance experience required
- Experienced SAP user
- Knowledge of Oil & Gas Industry preferred but not required
