This role covers the overall supply of Export orders. This also covers project management of supply of Export projects from order receipt through to final payment receipt. It is specifically focused on Export complex projects (as defined by the business), with a high degree of technical content, large projects, or high profile projects.
DUTIES AND RESPONSIBILITIES
- Co-ordinate the day-to-day activities of the Export Customer Service Co-ordination team, including allocation of work, responding to queries from the team, offer guidance and technical advice and ensure CRM data is kept up to date
- Manage day-to-day responsibilities of assigned large/complex export projects to achieve planned schedules and margins
- Liaise with distributors to agree the complete scope of works to be carried out
- Visit customers and attend project sites as appropriate (international)
- Provide the required information to Production to enable them to manufacture and order the required equipment to fulfil the project requirements within the agreed timescales and budgets
- Translate the customers’ requirements into a clear set of internal requirements or actions that can then follow through in an expedient manner whilst minimising any chance of error e.g. generating allocations for production to work to
- Provide Early Warning Notices to the Production Manager upon receipt of orders into the business
- Respond to and address customer complaints relating to post sales matters
- Develop empathy with customers/distributors to facilitate a better understanding of their requirements, assist with any problem resolution and realising any opportunities
- Ensure the customer signs off the Quantity and Dimensions (Q&D Sheet) prior to issuing into manufacture
- Liaise with customers and keep them informed of matters relating to their orders and deliveries, with for example letters of credit, issuing of export documents, expected dispatch dates, packaging requirements and pick up arrangements
- Work with the Commercial Department/Credit Control before production or dispatch of the products to ensure that the credit arrangements are adhered to e.g. payment on order, payment before works start, no dispatch without the credit controller’s approval
- Progress any warranty and product returns by following the company procedures
- Progress internally the approval of the customer drawings and bespoke products when required
- Responsible for organising customer deliveries, packing and freight when required and highlighting any costs over the original estimated cost that were not included in the quotation
- Highlight any potential or actual cost variances in excess of the original estimated costs
- Obtain customer satisfaction feedback on behalf of the business from export customers
- Collate any market intel and feedback and suggest new ideas for new markets/products, improved processes and promoting the brand
- Take on specific projects as assigned to support the Export Sales Team
SKILLS AND EXPERIENCE
Essential:
