Job description

This is a full time, permanent position working a minimum of 3 days per week at our office in Windsor, Berkshire.

This role is designed to provide full administrative support in the capacity of Personal Assistant to the Growth Team.

You will act as an extension of the COO and VP of Operations, working in their best interests. Your primary team will be the Growth Team, though you will also work closely with the leadership team.

You will support the COO, VP of Operations and VP of Product in their meetings, taking notes and actions as well as following up with attendees to ensure agreed outcomes are achieved.

You will help keep the teams focussed, enabling them to deliver on broad strategic and tactical objectives.

The role will include complex diary management, taking efficient minutes and actions at meetings, producing documents and presentations. You should be comfortable speaking with customers and suppliers and be confident presenting to the wider business where needed. You will need to be comfortable learning new skills and demonstrating a Growth Mindset.

You will need to be a driven, resilient individual who is able to support the commercial team in their objectives as your number one priority - above and beyond anything or anyone else.

As we are a hybrid working business, you must be comfortable presenting and communicating over online video conferencing tools.

Responsibilities

• Organise and maintain the diaries of the Growth Team
• Arrange and attend meetings for the purpose of discussion tracking - Project kick offs, project updates and catch ups with the senior team. Taking efficient minutes and actions at meetings including the follow up of these
• Attend weekly 1-2-1 meetings, supporting the product team with meeting notes and actions
• Perform administrative duties in relation to product projects
• Ensure developer resource is maintained and tracked within the appropriate projects (Tick). Ensure developer annual leave is documented to aid with resource planning. Maintain the project planning boards with timelines, start dates and launch dates. Update Jira tickets with updates post project updates
• Book and arrange travel, transport and .accommodation for face-to face meetings for those outside of the Leadership team.
• Typing, formatting, and editing operational documents presented to the company
• Support our onboarding and off-boarding process. Ensure kit is sourced and delivered to new starters ahead of their start date. Ensure kit is tracked and returned. Support existing staff by ensuring replacement kit is provided, when required.
• Producing Documentation required for projects.
• Updating weekly presentations and company scorecards
• Maintain strict confidentiality and security of conversations, documentation and data management systems

Requirements

• Comfortable working with strong, entrepreneurial characters and able to be honest and candid with feedback
• Previous PA experience or related operational expertise
• Exceptional organizational skills 
• Demonstrable resilience and upwards management
• Confident and able to work on own initiative with limited supervision
