Job description

Responsibilities  Manages the processes and staff relating to all patient paperwork and administration, as well as ensuring that all necessary funding is in place for the duration of the individual’s care.  Liaise with site PEM for future admissions.  Attend daily flash meetings to ensure bed management kept up to date and communicated.  Manages and develops a small team of Admissions Officers, through recruitment, selection, development and performance management processes.  Greets new patients, as well as their families on or shortly after admission, ensuring that any necessary documentation is completed at this time. As appropriate, collects any self-funding element of the care.  Liaise with consultant and medical secretaries to ensure private medical insurance is in place prior to admission and is maintained through their stay.  Updates patient details within Priory systems, ensuring accuracy of all data input. Uses a variety of internal systems to ensure that all current patients are funded, and refers any out of funds cases to the relevant member of Senior Management.  When no Private Enquiries Team at location, handle external and internal admissions enquiries, directing queries as appropriate.  Develops working relationships with purchasers, insurance companies, GPs, bed managers, etc., ensuring that requests are dealt with promptly and efficiently.  Management of bad debts.  Contribute to the development of Priory Healthcare policies, procedures, processes and initiatives. Ensures marketing, sales and service development functions comply with statutory regulations and current legislations  Liaises with key unit personnel to ensure that all funding is in place, prior to patient’s episode of care, as well as contacting the necessary external organisations to obtain the appropriate funding guarantees. Ensures that the appropriate bed / place is available via the task of bed management.  Generally, the role holder will work within existing procedures and processes, however, there will be the need for more adaptive thinking, particularly when dealing with patients, and their relatives, as well as managing the department’s staffing needs. Problem solving will be based on acquired knowledge and skills  You will be expected to provide cover and support to the wider team and site as and when needed
Knowledge / Education / Skills
 Good standard of general education with GCSE or equivalent in maths and English
 Competent in the use of software including Microsoft office
 High standard of written and verbal communication skills
 Able to be responsive to time critical situations
 Strong time management and organisational skills, ability to prioritise and multi-task
Experience
 Experience within an Admissions, Bed Management or other appropriate clinical administrative position.
 Healthcare experience desirable
 Experience of working in a fast paced, changing environment and demonstrable experience of managing own workload in this environment
Communication
Communications will be with patients, as well as with other staff, and will regularly require some judgement, as information will need to be gathered to facilitate correct administrative records. The role holder may be faced with some challenging situations, particularly in respect of requesting funding for treatment episodes. Some coaching and mentoring will be necessary for team members
