Job description
We are looking for an Information Governance Administrator to join our team at Cygnet.
Please Note: This role is a fixed term contract covering Maternity Leave.
The Information Governance Administrator will be based at Cygnet IMT Offices and will be responsible for supporting the Head of Information Management and Privacy and the Information Governance Manager with various Information Governance requirements of the Cygnet group. This will include policy development, information governance support, advice and guidance, audits, archiving, action plans, training and compliance with the Data Security and Protection Toolkit requirements. As part of the role you will be ensuring compliance with the Data Protection Act 2018 and UK GDPR.
Main duties and responsibilities include...
- Administration tasks for the Information Management Team.
- Raise awareness of the importance of information governance and encourage all staff that hold, obtain, record, use and share information to do so according to Cygnet IG Policies and good practice.
- Support in ensuring that the annual Data Security and Protection assessment is completed each year in conjunction with Cygnet’s Digital Services department and IG Board.
- Assist with keeping up to date all asset maps for the organisation as well as reviewing and risk assessing when necessary.
- Provide support with records management to all sites. This will include site visits so travel will be expected, as well as providing advice and support in all aspects of records management to include archiving of information and retention periods.
- Maintain Access to Records register and assist with collation of information for Access to Records requests.
- Lead with the scanning and organising of records so that Cygnet can aim to be paper lite.
- Support with the Information Governance projects.
- Supporting with the security team administration and assisting with asset management and the wider security agenda.
- Ensure that sound principles for IG are embedded into practice and identify / champion new and emerging IG initiatives.
- Assist in the improvement and implement of IG awareness and training programs for induction and on-going training.
- Monitor and report on IG training statistics.
- Monitor and Improve Data Quality across Cygnet systems.
- Support Information Asset Owners & Administrators in the execution of their duties.
- Help deliver specific training to staff as and when required.
- Assist in the development of specific training modules that would cover particular areas or roles such as subject access requests.
- To identify own training needs and undertake regular continued professional development.
- To assist in the development of documentation, to include, protocols, procedural manuals, posters and leaflets and other communication materials.
- Recording and responding to Subject Access Requests from staff, service users and third parties.
- Monitor, allocate and respond to requests and queries that are received through the Data Protection inbox.
- Check compliance of IG Training across the company on a weekly basis.
- Provide general support to the Information Governance Manager.
- Stay up to date with data protection legislation and best practice.
- Assist with the management of and response to data incidents.
- Working with the IG Manager and the Site Managers and Administrators to ensure that the sites are aware of what good records management is and the appropriate way to hold and share information.
- Ensure that all Archive is completed appropriately and destroyed when necessary whilst seeking the correct authorisations from the corporate team.
- Liaise with Cygnets off site archiving to arrange collections of archiving and delivery of any recalled information.
- Ensure digitisation of records is completed to a high standard
- Digitisation of records to meet the paper lite 2024 initiative.
