PA required to support Adult Services and Health Directorate. This post was filled by a secondment but the post holder has taken a career break. Agency cover is sought for 2 months to ensure there is sufficient capacity within the Social Care & Health PA Team pending further team changes/restructure.
ROLE PURPOSE:
To postholder will provide professional, comprehensive and high-quality PA support to council directorates, ensuring priorities and objectives are met in line with service priorities.
The postholder will be responsible for undertaking a range of varied tasks supporting multiple Assistant Directors and Heads of Service roles, ensuring direct high-level day to day support is maintained.
The postholder will work across a range of duties including facilitating responses, compiling reports, developing high quality briefing notes, managing deadlines and monitoring project outcomes and key milestones. The postholder will be responsible for coordinating a wide range of management information.
The post holder will have a full overview and complete knowledge of the work of the Directorate and the service area, and support opportunities for business process improvements.
QUALIFICATIONS
Educated A level standard or equivalent qualification or equivalent work based knowledge and experience
A management qualification e.g.ILM3 (or equivalent) or willingness to work towards
EXPERIENCE
Experience of supporting multiple projects / work tasks simultaneously and overseeing progress of projects or work within and not within your direct control
Experience of collating high level reports and briefings for senior managers and Members
Experience of working with senior managers to provide high- quality support across a diverse range of tasks and functions
Demonstrable experience of overhauling, designing, using and maintaining administrative and management information systems,
both manual and electronic
Experience of working on own initiative to develop considered solutions to problems, seeking management support when appropriate
Experience of developing and maintaining good working
relationships with providers, senior colleagues and Members of the Council.
Experience in managing high volumes of work effectively and
accurately, and to deal with routine matters on own initiative within deadlines.
Experience of attending high level, confidential meetings and taking accurate minutes for distribution
KNOWLEDGE & SKILLS
Excellent ICT skills and able to work with ICT services to make
technological improvements to service processes and procedures
Demonstrable project support skills
Ability to research issues, collate information and present in acceptable formats, as required.
Ability to use and learn a variety of service specific software as required
Appreciation and understanding of change management
Ability to think strategically, working corporately across traditional
boundaries.
An understanding of the ways of working within more than one
service department
