Job description
What you will do in your working day

Duties to include -
- Acting as a point of contact for customers, clients or suppliers via email, over the phone or in person
- Welcoming visitors to the building, letting the Coaches & Practitioners know the clients have arrived
- Organising filing systems and updating office databases
- Processing invoices, tracking receipts, inputting expenses and other basic bookkeeping tasks
- Arranging travel plans and hotel stays for staff members
- Ordering new office equipment, such as stationery, printer refills or staff uniforms
- Letting management know if any supplies are needed for housekeeping
- Scheduling office meetings between team, when required
- Responding to questions and requests for information
- Communicate effectively and accurately with a wide range of people, via email, phone and other social media platforms
- Accurately transcribe messages and record information over the phone or in person
- Data entry
- Use basic accounting software such as QuickBooks or Xero to generate invoices and receipts
- Use scheduling software and workflow programs, including Google Calendar, Outlook, Trello and others
- Knowledge of human resources procedures, such as entering payroll information and keeping personal employee information confidential
- Accurately booking in clients for the correct service under the correct staff member
- Ensuring client portal are updated with their information
- Ensuring Clients have paid for their services in a timely manner and invoices and pretest information is sent out
- Ensuring we retain customer retention in getting them to rebook either before they leave or by following up
- Checking Google for reviews and responding
- Supporting with content for Social Media accounts and ensuring posts go out throughout the week
The training you will be getting
- Business Admin Level 3 apprenticeship standard qualification
- Functional Skills maths and English level 2, if required
- In-House systems training
