Job description
We are currently looking for a Band 4 administrator to join our Health at Work team to provide administrative support as well as be initial contact to staff accessing our services for appointments, telephone and email queries regarding our services offered to staff working at all locations within the Trust.
You are likely to have experience in an office environment, day to day IT use with emails, general typing, and following processes and procedures in line with confidential information.
The Occupational Health team works from two clinic sites, the main base is Ealing Site (Southall Middx) but you may be required to travel to the Broadmoor site (Crowthorne, Berkshire) to cover leave.
IT, communication and interpersonal skills are essential.
The successful candidate will need to be able to work as part of a multidisciplinary team and on own initiative.
To provide an efficient, effective and confidential administrative/secretarial service to the OH Advisors and/or the Staff Counsellors, ensuring all correspondence and reports are typed to a high standard and forwarded to the relevant individuals, department and/or organisation.
To provide a high quality, professional, and responsive service to service users ensuring all contacts are dealt with courteously, efficiently and effectively, to include the provision of a reception service and dealing with telephone enquiries.
To assist the Systems/Administrations Manager to monitor and maintain the Health at Work Team’s Management Systems and databases (e.g. OPAS, TRAC).
To have joint responsibility for monitoring and maintaining audit tools ensuring accurate and timely data capture, liaising with the Systems/Administration Manager on all aspects of quality.
To have joint responsibility for the processing of referrals, health questionnaires and appointments ensuring that this is undertaken scheduled accurately, timely and in accordance with departmental protocol.
