Job description
The Colorectal Department at Southend Hospital would like to appoint a part time Medical Secretary to work for our Consultants on a permanent basis.
We are looking for a dynamic person to take on this busy secretarial role within the surgical directorate. To join our busy team you will need, excellent communication skills, and a high degree of organisation skills, in order to provide the team with an effective and efficient Medical Secretarial Service to Consultants and Junior/Senior Medical Staff within the Directorate.
The position requires knowledge of a full range of secretarial procedures, a broad range of experience as a medical secretary, knowledge of the 18 week referral to treatment targets, be computer literate with experience of medical terminology.
This is a part-time permanent position, 21 hours per week.
You must have excellent communication skills both verbal and written as you will be dealing with patients, their families and healthcare professionals on a daily basis.
You will be expected to actively promote and implement the Trust’s equal opportunities policies and procedures.
The post holder must at all times respect patient confidentiality and, in particular, the confidentiality of electronically stored personal data in line with the requirements of the Data Protection Act.
Type all clinic dictation /reports/statements/other.
To ensure all referrals are triaged in a timely manager.
To manage and process advice and guidance requests from GP’s.
To Ensure all clinics are cancelled to coincide with consultant A/L study days/ professional etc.
Book / cancel outpatient appointments as required.
Work with junior service manager to reduce long waiters and highlight any bottlenecks within the service which would prevent patients being booked.
To understand 18 week Referral to Treatment targets and manages patients through their pathway to prevent breaches.
Adhere to administration procedures, to meet the patient care and staff needs.
Input data into the departmental information system.
Assist in the clinical governance/audit procedure by liaising with the audit department, and multi-disciplinary team.
Set up and maintain filing systems.
Keep patient hospital medical notes in good order; check all patient details are up to date on the hospital’s computerised Patient Admin. System (PAS).
To provide a comprehensive administrative service, to all medical staff, including typing reports, minutes (when required to do so), general correspondence, opening post, keep a diary, liaise with patients and/or their families.
