Job Summary To perform reception duties to support and consistently provide a customer focused service, which promotes a great client experience and effective working relationships at Kingfisher Lane, Willington with in the surgeries guidelines. In addition provide efficient administrative support when required. To manage system and policies ensuring the highest clinical and administrative standards are achieved. Systmone CRM knowledge would be a benefit but not essential. To work with health professionals in the team to assist in identifying and addressing health needs of patients. To have the ability to relate to all levels of staff and general public with a good face to face, telephone manner and attention to detail providing an efficient, courteous and friendly service. Work to predetermined policies & procedures to ensure the efficient and smooth running of the surgery, working closely with the Reception team leader to highlight any areas where change may improve service provisions. This job description is intended to outline the main duties and responsibilities of the employee. This is not an exhaustive list of duties, you may be required to undertake any other duties, as required to meet the needs of the practice. Job Responsibilities The duties and responsibilities to be undertaken may include any or all of the items below. Duties may vary from time to time under the direction of the management team, depending on current and evolving practice workload and staff levels. Process face to face and telephone requests for appointments, visits and telephone consultations into a computerised system in accordance with practice protocol, ensuring callers are directed to the appropriate healthcare professional. Ensure patients have checked in as they arrive either at the front desk or via the self-check in system. Register new patients ensuring all relevant documentation has been completed and relevant identification has been obtained. Open up the surgery in the morning and close the surgery in the evening, observing security procedures and management guidelines. Deal with patients change of names and addresses; ensuring relevant documentation has been completed /obtained. Process assigned tasks allocated to the administration team. Process and distribute incoming and outgoing post Filing and retrieving paper notes. Undertaking as and when required word/data processing, chronic diseases recalls, filing, photocopying, and scanning. Ordering, re-ordering and monitoring of stationery and other supplies. Deal with patients requests for repeat medication, in a safe and appropriate manner, following the practice protocol. Maintain all public areas to a high standard throughout the day. Provision of refreshments for staff and visitors as required and keeping the kitchen areas clean. Working with and as part of the whole practice team to deliver excellent care, communicating directly with the appropriate person. Shred confidential waste produced on a daily basis. On occasions shred waste produced by colleagues and clinicians. Receive and record payments both in the post and from patients for non-NHS services provided by the surgery. Help direct patients to upstairs tenants. Communications and working relationships Internal GP(s) Practice Nurses Practice Management Practice team members External Patients, Relatives, Carers Members of the public and visitors to the building Community nursing staff including district nurses, health visitors, school nurses, community matrons, intermediate care team Specialist community clinical staff including chronic disease management specialists, continence advisers, infection control advisors, practice pharmacist etc. Local pharmacists & team Primary Care Network employees Matrons and managers of local nursing and residential care homes CCG personnel Local authority staff, including social services Local hospital, particularly pathology laboratories Medical equipment and pharmaceutical suppliers
