A Damp Project Support Officer is required to undertake the provision of robust damp related works/projects and administrative support to key staff to ensure excellent service to customers and the smooth running of the service to prevent any impact on the delivery and completion of Damp works/projects. To support and assist with the management of departmental or section email boxes, calendars and process, record and respond to emails as required. Assist with the collection of technical data and performance indicators from staff, contractors, other departments, stakeholders, consultants, residents and provide contract administration support ensuring that records are accurate and up-to-date. To contribute to the delivery of Strategic Asset Management Services which includes inputting data and supporting with reports for budgets.
Key responsibilities:
Act as damp and mould liaison and work directly with residents to undertake coordination of works on larger damp projects (for example arrange storage of items, be the main contact, working closely with surveyors and tenants who may be very distressed or reluctant to allow works progression and to provide assurance, to ensure quick and smooth completion).
Coordinate and work closely with all teams within R&I and other departments to act as the main coordinator for existing and proposed projects to avoid duplication and take forward required actions relating to damp and mould (e.g. working with capital projects teams where major works are planned or need to be added/brought forward to resolve ongoing issues).
Coordinate and manage existing works orders to ensure existing backlog, new jobs are undertaken in a timely manner with continual updates to all stakeholders (tenants, surveyors, managers, complaints etc.).
Manage complex and specific tasks relevant to the team, take ownership, write up procedures.
Be able to work in a very busy and changing environment day to day unsupervised.
Deal with service enquiries from customers, contractors, consultants, other departments, external bodies and stakeholders and ensure appropriate information is forwarded to the relevant officer and where necessary; record complaints, closely monitor and take action to ensure the service meets the Council’s response criteria.
Collate information and create supporting documents for reports to be used to secure future budget approval.
Support the Managers in maintaining and promoting effective relationships with internal and external clients as required. To receive feedback and views of the service provided in relation to the contract specification and make the manager aware of the areas for improvement.
Carry out a range of general office administrative support tasks to Officers including maintaining and managing diaries, preparing agendas, arranging meetings and taking minutes of meetings as directed, collating relevant documentation, ensuring timely production and distribution and follow up action where required.

Qualifications:
A good standard of general education including good applied literacy and numeracy skills.
Experience:
Minimum of 12 months recent experience in a similar role or context and ideally within a public sector organisation.
Experience of writing notes, letters and reports desirable.
Experience of working collaboratively and in consultation with different teams to deliver excellent customer services.
Experience of working with residents and a range of stakeholders including local councillors in a politicised environment desirable.
Skills & Abilities:
Ability to establish good working relationships and communicate clearly at all levels with customers and staff.
Good standard and competency in verbal and written communication, phone lines, face to face and email and letters.
Excellent organisation and time management skills.
Ability to cope with a busy workload.
High level of accuracy and attention to detail.
Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
