Overview
We have an exciting opportunity for an EA to manage and provide an efficient, effective, professional and value-adding administrative and bookkeeping service to the Director and team
Salary: £26,000 to £30,000 depending on experience
The Role
Personal Assistant
- Diary Management
- Database and information management
- Document creation and production/ Drafting confidential letters
- Managing telephone, email, voice mail and mail
- Meeting and Event Management – and attend the same as required
- Relationship management – clients, service partners and colleagues
- Organisation of Travel and accommodation
- Production of time reports and expenses
- Preparation of meetings documentation
- Proof reading documents
- Follow the firm’s procedures and understand the importance of doing so
- The preparation of reports, presentations, letters, files notes, emails and faxes in accordance with the firm’s procedures
Bookkeeping
- Invoice production, processing supplier and other payments
- Accruals and prepayment entries
- Chasing debtors
- Credit control
- Staff salaries
- Record budgets and year- end figures
- Liaise with Accountant
Office Management
- Oversee office administrator inputs/outputs e.g. filing and archiving, message handling
- Review systems & processes, making recommendations as required
- Technology support including legal IT reviews
- To assist both the UK and Indian teams in managing the firm’s case load via the online, paperless document management portal.
- Purchase sundries and office resources as required
- Ensure adherence to H&S regulations
The Person
- Bookkeeping qualification – e.g.AAT, ICB, IAB
- Desirable – knowledge of Xero
- Desirable – knowledge of Docusoft, VisionBlue and SmartSearch
- Proficient with Microsoft Office products.
- Proficient with Microsoft Office products.
- Honesty, personal integrity and the ability to maintain strict levels of confidentiality at all times,
- Talented, bright, energetic and engaged with the ability to think on your feet and have a “can do” attitude,
- Genuine interest in problem solving and helping people,
- Articulate and able to communicate with others in a clear and structured manner (written and verbal),
- Excellent telephone manner and to be able to deal with difficult callers and challenging conversations,
- Attention to detail, high standards of work and adhere to qualitative guidelines
- Professional in appearance and manner
- Excellent administrative, organisational and prioritising skills with the ability to remain calm under pressure, stayed focused and achieve deadlines
- Willingness and appetite to learn, attend CPE/training programmes and study courses as and when require
- Take responsibility for additional ad-hoc tasks
