Are you an Administrator looking for an exciting new challenge in Bath or London? Buro Happold is looking for an Admin Assistant with previous experience in an administrative role and data entry, to help us on an internal project for 12 months. The role comes with an attractive salary and benefits package.

 

The Global Marketing team is embarking on an internal project to utilise OpenAsset to its full potential as a Digital Asset Management (DAM) tool. A key part of this project will be to migrate our project case studies, which currently exist as InDesign documents, and accompanying project imagery onto the OpenAsset system to centralise these assets.

This role is one of three we are planning to recruit specifically to work on this project, and you will therefore be expected to:

• Work through a list of case studies and CVs, transferring the existing information into the new OpenAsset project records
• Evaluate the standard of information contained in each case study to determine whether it meets best practice standards
• Upload project photography to OpenAsset and make sure the correct metadata is applied.

Your key duties

• As directed by our Project Marketing Manager, access our project case study and CV library in SharePoint and work through a prioritised list, taking written content from InDesign documents and populating set fields in OpenAsset

• Ensuring accompanying project images are also uploaded to OpenAsset and the appropriate metadata is entered

• Liaising with the wider marketing community to establish whether client and copyright permissions have been established for both written content and images

• Liaising with the wider business to ensure accurate project information is linked to the project record on OpenAsset

• Adhering to the Buro Happold Case Study Style Guide to help edit/elevate the information that is being transferred to OpenAsset.

 

Your skills and experience

• Previous experience of coordinating and managing tight deadlines

• Excellent computer and IT skills including; Word, Excel, SharePoint and Teams

• Experience in comparing documents and consolidating information from multiple sources

• Experience of using spreadsheets and databases

• Experience of supporting a team of people as well as working on a one-to-one basis

• Working knowledge of OpenAsset is advantageous but not essential.

• Data entry experience essential.
