Temporary Business Support Officer / Admin - Adult Social Care

Pay rate: £12.38 per hour PAYE

Hours per week: 37 Monday to Friday, normal working hours

This opening assignment is for 2-3 months

City: ELLESMERE PORT, Cheshire

Hybrid working an option, in the office minimum twice a week

Minute taking skills and experience are essential for this role

A Business Support Officer is required to undertake administrative duties including minute taking, data management, answering the phone and taking messages, admin related tasks and supporting the team.

Key responsibilities:

Review all e-mails and decide where they should be distributed.
Check answer phone messages, return calls, speak to families to signpost them to the correct team/ SW/ SCA.
Calls from wards to check on previous POC’s, possibly re-start if needs have not changed.
Respond to non-routine and more complex enquires from members of staff, service users, other professionals, agencies and hospital staff. Help nurses within IDT to check on Liquid Logic for details on SU’s.
Arrange transport as required. Update Patient Journey spreadsheet on a regular basis.
Process purchase order onto Best for Business. Load new referrals for the team onto Liquid Logic. Update staff leave sheet and load Timesheet annually.
Order supplies and equipment.
Assist the Team Manager and Practice Manager with recruitment admin tasks. Help to coordinate meetings including minute taking.
Provide general administrative support connected with supporting the work of the team. Undertake a range of administrative activities, including minute taking, the production and distribution of documents, correspondence, extremely sensitive data and information; and the organisation and servicing of meetings and events, as part of the service support function, linking in with corporate systems in order to contribute to the efficient and effective delivery of operational services.
Design, develop, monitor and maintain schedules, records and systems for work in the service area to ensure an efficient and effective service provision.
Prepare a range of service specific statistical data and information, from related systems, monitor trends, and collate and present for use by senior staff in budget management and policy development.

Qualifications:

NVQ level 3 in business administration or equivalent experience.

Experience:

Previous experience within a local government environment, and knowledge of local government regulations and procedures desirable.
Experience of minute taking.
Experience of input/monitoring spreadsheets and updating databases.

Knowledge:

Knowledge, experience and awareness of administrative work procedures, the ability to function efficiently and professionally in a busy office and in accordance with the procedures
Knowledge of Adult social Care legislation and procedures and the administration/processes involved desirable.

Skills & Abilities:

Minute taking skills and experience are essential for this role.
Able to input/monitor spreadsheets, update databases.
Able to work independently with confidence and discretion and as part of a team.
Ability to converse at ease with customers and provide advice in accurate spoken English.
High standard of accuracy with the ability to organise and prioritise.
Able to communicate effectively by email and over the telephone, and produce reports in a timely and accurate manner.
Able to demonstrate confidentiality, impartiality and initiative.
Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
