Job description
Our client is a professional membership association, looking for an Events Administrator to join their team and assist in the delivery of its annual schedule of training courses, annual conference, and other events. Reporting to the Head of Events and Quality, you will work collaboratively with the Events Manager and wider team to support the administrative creation and delivery of all events.
This role will ideally suit an experienced administrator or an ambitious graduate, a quick learner, who takes ownership of projects and would like to grow and develop with a dynamic team.
This is a full-time role, working 37.5 hours a week. The company offer a hybrid set-up, requiring you to be office based 3 days a week (including Wednesday) with flexibility for the remainder of the week.
PLEASE NOTE: This role requires travel with some overnight stays. Candidates with a clean driver’s licence preferred.
Your day-to-day duties will include:
- Be the first point of contact for delegates and members and provide information, advice and support in respect of their attendance at events or membership of the organisation
- Assist with the day-to-day admin of the events team, setting up and processing delegate registrations
- Collaborate with the marketing team and provide content for promotional materials
- Research new venue locations and gather initial information and costings
- Assist with the preparation of event schedules
- Formally invite guest speakers to events as per the guidance of senior team members
- Liaise with external printers and send all course material to be printed as per schedule deadlines
- Ensure all joining details and pre-course reading materials are sent to delegates as per event schedule
- Upload agendas, biographies, delegate lists, pre-course reading and FAQs to the online community prior to events commencing
- Prepare the ‘Event Box’ containing all event resources to be taken to each venue
- Attend on-site events and provide assistance with room set-ups, delegate registrations and provide general assistance for the duration
- Capture media for online marketing and promotion
- Develop working relationships with event attendees, guest speakers and VIPs
- Maintain a high standard of quality across all company events
To be considered for this role, you will need to be able to demonstrate:
- Experienced in office administration, with some events experience desirable but not essential
- Demonstrable experience of handling multiple deadlines and enquiries
- Highly organised and with good attention to detail
- Self-motivated and an ability to work in a team, with minimal supervision at times
- Excellent communication skills with an ability to work with a variety of members, sector stakeholders and external audiences
- Proficient Microsoft skills (Excel, Word, PowerPoint) and confident utilising databases and CRM systems
