Our client is looking for a Personal Secretary to join their team!
Rate of Pay : £13.81
Hours: 37
Shift Pattern: Monday to Friday 9am -5pm
Location: Belfast
Duration: 6 months with the possibility of extension
Start Date: ASAP - Depending CTC clearance
KEY DUTIES & RESPONSIBILITIES
Front of House type of work
Answering phones/directing calls for the Chief Executive (CE), and Senior Management Team (SMT)
Escorting Visitors and preparation of refreshments for visitors
Setting up of rooms for meetings/arranging catering/clearing up afterwards
Diary Management
Arranging meetings for CE, Board Chair, Vice Chair and SMT
Preparation of meeting papers for the above for any meetings
Arranging courier to have meeting papers sent out to Board Officials and Members
Post
Opening and recording of all mail on the correspondence log and forwarding to relevant Director/branch
Following up within set timescales to ensure actions are taken
Filing (hard copy/electronic) of all records
Typing/other admin/secretarial duties
Typing/preparation of letters/documents for CE, Chair, Vice Chair and SMT
Photocopying, filing or any other admin support for CE, Chair, Vice Chair and SMT
Other
Making travel arrangements for CE, Chair, Vice Chair and SMT
Working in conjunction with the Communications team to prepare the Chair and Chief Executives reports for the monthly Board meetings
Managing the staff Gifts and Hospitality Register
SUPPORT TO STRATEGIC PLANNING & GOVERNANCE TEAM
Preparation of papers for monthly Board/Resources/ARAC Committee meetings
Arranging Hospitality for meetings – setting out the catering/clear up etc
General administration duties including filing, photocopying, shredding, processing of invoices
