Job description
What you will do in your working day
Job Responsibilities to include:
Reception
- Respond to queries and requests for assistance from patients and other visitors – whether face to face, via telephone or email
- Assist on reception eg answering telephone and making patient appointments ensuring patients are directed to the appropriate health care professional, dealing with queries, taking repeat prescription requests, dealing with online access requests etc
- Enter requests for home visits into visit book stating time received and including all relevant information and where necessary refer to the on call Doctor
- Process patients’ changes of address – computer data and medical records (have knowledge of practice area)
Administration
- Assist with scanning hospital letters etc. onto patients electronic records
- Take messages/send tasks as appropriate, ensuring an understanding of need for accuracy and prompt action if urgent
- Assist with scanning and/or printing for insurance requests etc.
- Assist with opening and date stamping of post and frank outgoing post as required
- Process requests for/returning of medical notes from storage
- Carry out data inputting as appropriate
- Fax and photocopy as requested
- Processing repeat prescriptions in accordance with practice guidelines
- Updating medical records as necessary
- Deduction of patients and adding new patients
- Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
- Providing clerical assistance to practice staff as required from time to time, including word/data processing, filing etc.
- Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
- Carry out any other office administration duties as directed by the Office Manager or Practice Manager
The training you will be getting
Level 3 Business Administration Apprenticeship Standard.
In house training will be provided on an ongoing daily basis with the current finance team. You will not be required to attend Dudley College premises as the course is delivered in the workplace only. An assessor will be allocated to you to progress/help you through you course. Continual assessments, coupled with assignments/or exams depending on course of study. Time spent training will be part of the agreed contracted hours of the working week.
At the end of your training, you will sit an exam and submit course work as part of your assessment, and you will receive a Level 3 qualification.
