Role: Appointments Officer / Administrator

Contract Length: Anticipated 3 months

Hours: 37.5 or PT hours considered

Location: Bognor Regis Campus, PO21 1HR, Hybrid Working – 2 days per week on-site

Pay Rate: £10.42 PAYE per hour

Hybrid Working – 2 days per week on-site

Basic DBS Required for this role
OH Assessment required

Summary:

To provide an efficient, high quality appointment reception and booking service across all the modalities of the Radiology Department. Role based predominantly within the Bognor Community Diagnostic Centre with rotation as required to St Richard’s Hospital.

Ensure the smooth running of all Bognor CDC reception and utilise appointing knowledge to maximise utilisation of all available appointments in the CDC and main hospital.

Radiology book across many modalities – CT, Fluoroscopy, Interventional Radiology, Nuclear Medicine, MRI, Ultrasound both non obstetric and obstetric and X-Ray. Reception duties will be required.

Main Duties and Responsibilities;

Work closely with the Administration Team Leader, Consultants, Superintendents and Senior Medical Staff, Sonographers and Radiographers to contribute positively to the effectiveness and efficiency of the team.
Ability to deal with all queries effectively in a sensitive manner from both Trust staff and general public, some of which may be complex. Communication may be via email or telephone involving staff, patients or relatives, GPs and other healthcare professionals.
Communicate with patients in a sensitive, confidential and tactful manner; some of the issues can be of a complex and contentious nature.
Attend regular team briefs and huddles and ensure any duties are carried out as requested.
Cancel and rebook lists at short notice due to mechanical breakdown or unexpected last minute unavailability of staff. Make appropriate judgements on where to rebook the patients taking into account the urgency and availability.
Interpret referrals ensuring that the patient is appropriately prepped and booked onto the correct list. Analyse and judge the urgency of referrals and bring them to the attention of the various Superintendents/Consultants within the department and expedite accordingly.
Plan own work for the day to utilise all appointment spaces efficiently taking into account last minute availability and cancellations so that there are no wasted appointments.
Booking of patient appointments via the computerised radiology information system (CRIS) for all modalities.
To participate in the transfer and communication of Patient images via electronic processes.

Experience / Qualifications;

CGSE or equivalent in English and Maths. Educated to at least NVQ Level 2 or equivalent level of competence,
Competent in a range of packages including MS Word and MS Excel
Experience of clerical duties
Experience of working with people both over the phone and face to face.
Knowledge and awareness of confidentiality issues relating to the Data Protection Act and Computer Misuse Act
Able to plan work, set priorities
Ability to concentrate for long periods maintaining accuracy.
