Office Angels are currently recruiting for an Executive Assistant for our client based in Reading.
Role: Executive Assistant
Location: Reading
Salary: £27k-£35k per annum, depending on experience
The Role:
As Executive Assistant you will enable the senior leadership team (CEO, CFOO and CTO) to focus on their core responsibilities by taking care of routine tasks and providing organisational support. You will be responsible for a wide range of administrative and organisational duties including the following:
- Calendar Management: Scheduling meetings, appointments, and managing the SLTs calendars to ensure efficient use of time.
- Meeting Coordination: Organising and coordinating meetings, preparing agendas, and ensuring necessary materials are available.
- Travel Arrangements: Planning and coordinating travel arrangements, including flights, accommodation, and transportation.
- Expense Management: Keeping track of expenses and processing receipts.
- Email Correspondence: Handling and responding to emails on behalf of the SLT, sorting and prioritising messages.
- Phone Calls (in-hours): Screening and managing phone calls, taking messages, and providing information as needed.
- Management of relationship with virtual receptionist provider and call forwarding software.
- Handling mail: Sorting and prioritising incoming mail, managing packages, preparing outgoing correspondence, maintaining records, and ensuring the security and confidentiality of sensitive materials.
- Office Management: Overseeing the smooth operation of the company's office spaces including ordering supplies and maintaining a well-organised workspace.
- Be the main point of contact and relationship manager for co-working space provider.
- Procedural HR tasks (this will involve handling confidential information) - including, but not limited to, offer letters, contracts and inventory management.
- Admin ownership of HR system (Cezanne) and ad hoc people-related reporting.
- Overseeing new-joiner and leaver processes.
- Coordinating and admin ownership of marketing events and Supplier Hub events.
- Creating, scheduling and posting social media content for the company social media pages.
- Coordinating multimedia days for photography and videography.
- Project Support: Assisting with various projects from time to time, which may involve research, coordination, and collaboration with other team members on an ad hoc basis.
- General admin support: Document filing and archiving.
- Event Planning: Organising and coordinating events, conferences, or other functions.
- Supporting finance team with administrative tasks.
The ideal candidate:
- Experience working directly for SLT members in a PA/EA capacity.
- Excels in multitasking with meticulous attention to detail, epitomising organisational efficiency in managing a diverse range tasks.
- Exceptional time management skills, with a keen eye for detail.
- Proactive approach to planning, coupled with resourcefulness.
- Adept in maintaining clear and concise communication, ensuring seamless and efficient information flow among stakeholders.
- Ability to perceive and address underlying emotional needs within the team, an empathetic approach.
- Ability to anticipate potential concerns and proactively provide support.
- Resilient, with a flexible and adaptable approach
- Ability to handle sensitive information with discretion and confidentiality.
- Experience owning and administrator managing an HR system (preferably Cezanne) desirable.
- Project management experience beneficial.
