The Directors’ Assistant plays a key role in supporting the work of the Director of Institute of Cultural & Creative Industries and the other sub-Directors. This is a broad role which requires a high level of confidentiality and tact at all times, together with an excellent attention to detail.

As Directors’ Assistant, you will be expected to provide senior administrative support including diary management, correspondence, stakeholder liaison, expenses claims, travel arrangements, meeting arrangement (e.g. booking venues, arranging catering) preparation of agendas and papers, taking minutes, circulating and following up action points.

What you will do :

Provide proactive, high quality and confidential support to the Directors.

Diary management, ensuring recognition of potential conflicts of time and ability to identify priorities and adjust diaries accordingly to mutual satisfaction.

Arranging meetings and events, including attending and producing minutes, as required.

Arranging national and international travel.

Preparing materials for presentations, reports and marketing.

What you will need :

•       GCSE English and maths or equivalent

•       ECDL or equivalent IT qualification

•       Proven senior secretarial/PA support, including diary management, records & filing maintenance, meeting/event organisation, arranging travel bookings and processing financial transactions

•       Proficient working knowledge of MS Office, including Word, Excel, PowerPoint, Outlook (email and electronic diary management) and the ability to use a database

•       Ability to manage highly confidential and sensitive matters with discretion and tact

•       Ability to work under pressure, particularly to manage conflicting pressures working quickly and accurately to meet tight deadlines
