In this position you will act as the first point of contact for all switchboard calls, visitors and manage access to the business. Provide administration and general affairs support to the HR & Admin Department and co-ordinate a number of specific HR processes on a day-to-day basis to support the HR Team.
Your core responsibilities include:
- Provide first point of contact support by answering the switchboard, directing telephone calls and directing visitors whilst on site.
- Responsible for general office administrative tasks such as post, maintenance of stationery stock and distribution and any associated queries, and maintaining internal telephone lists. Provide references for Mortgage/Letting requests.
- Provide daily support on HR Administration duties, to include setting up Leavers files, chasing up unreturned documents for existing staff/ new starters and ensuring copies of standard forms are available for staff. Send out manager focussed communication around probationary reviews.
- To provide a key role in ensuring the Time & Attendance system is up to date and accurate; recording all authorised leave (including sickness and holidays) into the T&A system and ensuring reconciliation of holidays is completed. Carry out Return to Work document checking.
- Request references for new employees and deal with reference requests for former employees. To support managers in preparing for Work Experience placements and to liaise with Schools/Colleges. Support with onboarding of new recruits into the company.
- Preparation of travel arrangements for all staff, including visa support as and when required. To provide support in the co-ordination of arranging Site Events such as organisation of visitor PPE wear.
- To support with the co-ordination of the S&S activity and booking of all events. To support the HR & Admin Team in organising charity events and co-ordinating input from other departments.
- To be responsible for 5S across HR areas including meeting rooms, kitchen area and notice boards with support from the wider HR team. Responsible for the ordering and issuing of Company workwear to relevant staff. Focus on continuous improvement in these areas line with our Health, Safety and Environmental requirements.
- Main point of contact for internal and external queries in relation to the maintenance and contract for on-site vending machines.
- Co-ordination of Temporary Workers’ Timesheets – ensuring correct completion, dealing with any anomalies, liaising with the HRBP/line manager, where appropriate, and accurate recording of hours worked.
- Responsible for the administration and co-ordination of local recognition schemes. To be the first point of contact for any queries and provision of employee information, including but not limited to Recognition Awards and Long Service Award

Profile and Qualifications:
- Excellent inter-personal and communication skills.
- Ability to demonstrate a high level of confidentiality and experience of dealing with confidential information.
- Proven IT skills (Office 365).
- Ability to manage and organise own workload efficiently.
- Educated to GCSE Grade A-C (or equivalent).
- Previous experience in a HR Administration or general Office-based administrator role would be desirable.
