Description :

Our growing client has an exciting opportunity for an experienced Personal Assistant. The role will support two directors of a fast growing and evolving company, located across two sites in Hoddesdon and Hatfield.

This is a new role within the company. Successful candidates will be required to implement new systems to allow seamless and efficient interaction between directors and PA. The role is a full-time position working from 9am – 5pm (1 hour lunch) Monday – Friday, but on occasions additional hours may be required. The role offers a salary of £40,000+ depending on experience, plus 25 days holiday per year and company mobile phone. The PA will predominantly be an office based role with home working available on occasions.

Duties to include but not limited to
? Handling and responding to all correspondence (including spreadsheets and presentations) including phone calls, emails, letters and editorials.
? Handle travel arrangements for directors
? Scheduling appointments and organising diary entries, booking conferences, events
? Arranging catering for meetings and booking meeting rooms
? Research companies in trade sectors to arrange meeting (with guidance of directors)
? Setting reminders for meetings, appointments and other important tasks
? Preparing agendas at meetings (senior team, staff 121s and external 3rd parties), taking notes at meetings, preparing the agendas/minutes and subsequently distributing to all participants
? Liaising with other members of staff and external parties such as clients and press
? Assistance with recruitment administration, collating CVs, booking interviews and handling communications.
? HR correspondence administration - issuing staff offer letters, contracts, other HR correspondence
? Oversee company health and safety administration
? Director level facilities administration
? Oversee site/office structural projects
? Director level banking communication/administration
? Company insurance administration, overseen by directors
? Stationary and printing orders
? Run professional errands (gift purchasing, make reservations)
? File and arrange documents for directors, facilities, insurance, contracts etc
? Liaise with internal departments
? Process director’s expenses and purchases orders

Skills :

Attributes/Character
? Candidates are required to be strong minded, strict with processes and organisation, have good recall skills
? Our client are looking for successful candidates to bring an open mind and new ideas, Not being afraid to speak their mine
? Ability to prioritise and organise
? Excellent written and verbal communication skills
? Proficient in Outlook, Word, Excel and PowerPoint
