Job description


We are seeking an organised, self-motivated and enthusiastic individual with a positive outlook to driving change. Based at St Mary's Lodge, Leamington Spa, the successful candidate will be a resourceful and flexible team player with the ability to work effectively in engaging others.

Our Leamington site provides an Outpatients service to support Adult Mental Health patients across South Warwickshire.

The role is pivotal in managing the admin support provided on site and key responsibilities will be varied. Duties will include direct line management of admin staff, 1-1 supervisions, appraisals, sickness reporting, leave requests and providing support/guidance, including management and co-ordination of staff rotas and out-patient reception cover and working alongside clinical and admin staff in developing processes to make them more efficient and streamlined.

In addition, the post holder will be responsible for co-ordinating subject access requests (access to records) including chasing and processing responses back from clinical and medical teams.

The Admin Team Co-ordinator will work closely with the Senior Admin Lead and other Band 4 colleagues to support wider cross cover arrangements. This will include supporting the Adult Mental Health admin teams based in Stratford Health Centre, Stratford Upon Avon – working alongside the Stratford based Admin Team Coordinator, covering sickness and AL. The post holder will need to be able to work collaboratively with admin colleagues and clinical teams to review, develop and implement consistent processes and procedures across both localities. You will therefore need access to car on a daily basis and willing to travel across both sites as and when required.

The successful applicant must have excellent communication skills and experiences of supervising and line managing staff. You will need to work on your own initiative and organise your own workload, as well as that of others, meeting deadlines, and responding professionally to enquiries both internally and externally to the organisation. Maintaining confidentiality is essential along with the ability to prioritise and exercise judgement to problem solve.

The successful applicant should be able to demonstrate a good working knowledge of Excel, Outlook calendars, Microsoft Teams (virtual meetings), and experience of using electronic patient record systems – ideally CareNotes.

You will be expected to plan and manage a range of complex duties, including working closely with service leads and admin staff to implement agreed changes to systems and working practices.

As the role will require working closely with other Band 4 colleagues, to share best practice and supporting the Senior Admin Lead and Administration and Process Managers, you be required to attend/participate in regular meetings to include a mix of face to face and virtual MS team meetings.
