Our client, based in Belfast is looking for an EO2 to join their team

Job Description:

- As per job description for the job role.

The post holder will provide high level executive support to the Independent Review Implementation Project Management, t eam including the Executive Director and they will be required to co-ordinate multiple activities and at times conflicting demands - often under time pressure.

The principal duties of the post are as follows:

- Provide high quality customer service in line with organisational values and behaviours, ensuring that all information provided is accurate, timely, clear and easy to understand, and that all dealings with internal and external customers are professional and positive.

- Take responsibility for overseeing arrangements for Project Management Meetings, including telephone/video conference meetings as required, preparing meeting papers for the Executive Director and Team Managers, sourcing briefing for meetings where required, maintaining a forward plan of agenda items, drafting agendas, commissioning and circulating papers in good time, attending meetings, drafting accurate minutes, recording actions and tracking progress against these actions.

- Planning and co-ordinating activities, events and processes as required

- Manage the Review Implementation Team mailbox to ensure that work is effectively prioritised, delivered and distributed appropriately to wider team members when necessary.

- Commission and submit briefings from officials and co- ordinate all information requests received, ensuring that the Executive Director’s decisions are communicated promptly and accurately and within set timescales.

- Managing and co-ordinating relevant information effectively through Invest NI’s electronic and manual information management systems

- Using IT packages for timely accurate collation and analysis of data for input into presentations, briefings any reports;

- Providing general administrative support to the wider team as required. This may include diary management, raising purchase orders, maintaining budget records, taking and preparing minutes, circulating papers, filing etc.

- Contributing to team and divisional projects aimed at improving service delivery or operational efficiency;

- Ensuring effective customer service through the provision of advice and information to internal/external customers

- Drafting written communications for internal and external use

- Provide support to the wider organisation on a range of duties as and when required.

Essential Criteria:

- 5 GCSEs including maths and english (certificate proof required)

- 2 A Levels in any subject (certificate proof required)

- Excellent IT skills, including use of Microsoft Word and Excel

- Good communication skills

- Ability to use own initiative

Wage:

- £13.81ph (weekly)

Location:

- Bedford Square, Bedford Street, Belfast BT2 7ES

Start Date:

- ASAP

Length Of Assignment:

- 6 months, with possible extension

Work Pattern:

- Monday to Friday 9am and 5pm.

- 37hr per week
