Job description

Our client are seeking to appoint a Health Safety Environmental and Security Administrator on a fixed term contract of 6 months. ( 16 hours/ 2 days per week)
This pivotal role is responsible for supporting the implementation and administration of our HSES policies, programs, and initiatives. The successful candidate will play a key role in promoting a safe and environmentally responsible work environment across all levels of the organisation.
As a Health Safety Environmental Administrator you will be required to carry out the following;
Essential Job Functions/ Responsibilities
New Employee Inductions: Conduct comprehensive HSES inductions for all new employees to ensure they understand the company's health, safety, environmental, and security policies from day one.
Scheduling Occupational Health Appointments: Organise occupational health screenings for new starters and manage renewal appointments for current employees, ensuring all health assessments are up to date.
Scanning and Filing Training Documents: Maintain an organised system for scanning, filing, and retrieving HSES training documents, ensuring easy access and compliance with regulatory requirements.
Managing the Administration of HSES Contractors: Oversee all administrative aspects related to HSES contractors, including contract management, compliance checks, and coordination of activities to ensure alignment with company standards.
Recording HSES Communication: Keep detailed records of all HSES communications, including meeting minutes, safety bulletins, and updates, ensuring information is disseminated effectively across the organization.
Scanning and Saving Documents: Implement a systematic approach to scanning and saving HSES documents ensuring all records are digitized, categorised, and securely stored for future reference.
Following Up on HSES-Related Actions: Actively follow up on outstanding HSES actions, including corrective measures and preventive actions, to ensure timely completion and compliance with safety standards.
Typing Up Changes to Procedures: Assist in the revision of HSES procedures by typing up changes, ensuring all documents reflect current practices and regulatory requirements.
Managing Document Control for the Department: Oversee the document control process for the HSES department, ensuring all documents are current, accurately maintained, and accessible, in compliance with quality management systems.
Contract Duration and Working Conditions of the Health Safety and Environmental Security Administrator :
This role is a temporary contract position, requiring a commitment of two days per week for a duration of 6months.
Working Hours: The standard working hours for this position are from 8:00 AM to 4:00 PM.
Training: All necessary HSES training will be provided to ensure the successful candidate is fully equipped to perform their duties effectively and in compliance with current regulations and company policies.
Qualifications, Skills and Experience -Essential
Skills:
Strong organisational and administrative skills, with the ability to manage multiple tasks and prioritise effectively.
Excellent communication skills, both written and verbal, with the ability to engage with employees at all levels within the organisation.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with document management systems.
Detail-oriented with a high level of accuracy in document handling and data entry.
Ability to work independently with minimal supervision and as part of a team.
A proactive approach to problem-solving and the ability to follow through on commitments.
Experience:
Previous experience in an administrative role
Experience in managing and maintaining records and documentation, especially related to health and safety.
Experience in coordinating training sessions and occupational health appointments is advantageous.
Prior exposure to working in an industrial or manufacturing environment can be beneficial but is not mandatory.
Additional Requirements:
Willingness to undergo further training as required by the role.
