Administrator

This position is a permanent opportunity.

As an Administrator, you will be expected to:

• Maintain systems, records and databases to record and manage OVH’s obligations centrally.
• generate reports and provide spreadsheets, statistics and other information for Senior Managers when requested
• provide administrative support to the Repairs and Maintenance team including filing, Purchase Orders and any other related duties
• Liaise with housing management teams, tenants, and other key stakeholders in relation to progress on projects and contractor performance updates
• update trackers, liaise with and arrange meter installations for void properties through external suppliers
• Assist in the Matching of invoices from contractors and consultants for payment purposes
• liaise with and sustain relationships with property and neighbourhoods and partnering contractors. Ensuring good working relationships and compliance
• process letters from tenants, complaints, suggestions and insurance claims including maintaining a log of issues raised.
• provide information and data to Surveyors and Senior Surveyors to be able to investigate, deal with and resolve Stage 1 & 2 complaints that are assigned to the Repairs and Maintenance Team including liaising with customers and colleagues
• attend meetings and produce accurate minutes
• Filing, photocopying and dealing with incoming/outgoing mail and other ad hoc duties as required
• monitor customer satisfaction levels and prepare regular reports and analysis for Senior Managers
• meet appraisal targets and support the delivery and achievement of overall business objectives
• ensure training requirements are met and ensure continual personal development is received throughout the team. Minimum of 5h per year is to be achieved.
• ensure the maintenance team continues to work efficiently, effectively and economically and meets value for money principals

To be successful in a Administrator role, the skills you will need:
• Level 2 qualification (GCSE, O level or NVQ or equivalent
• Previous experience of working in an administrative role.
• Previous experience of data input into asset management systems
• Experience of dealing with customers.
• Well developed organisational skills with the ability to work to tight deadlines
• Excellent written and verbal communication skills
• ICT literate and able to confidently use Microsoft Office software, especially Excel and Word
• Ability to work on own initiative with minimum supervision
• Willing to undertake any relevant qualifications and CPD.
• Excellent communication skills, able to communicate across multiple channels including Microsoft Teams, Face to Face and Email.

Experience or Knowledge of the below would be advantageous but not essential:
• European computer Driving Licence (ECDL) or other ICT qualification
