Job description
• Be responsible for the logistical arrangements and coordination of the planning, delivery, and follow-up for One Small Thing’s online and in-person own training events and for commissioning organisations and in prisons. This includes supporting event set-up (updating website and Eventbrite, event promotion including on social media platforms (e.g. LinkedIn, X etc) and updating and sharing promotional material), booking trainers, setting up meetings date setting etc; communication with participants, commissioning organisations, and trainers; booking agreements; maintaining accurate records; material collation and distribution; evaluation and report collation; and invoicing.
• Provide administrative support for the Working with Trauma Quality Mark and Working with Trauma Framework for Secure Settings, including communication with a wide range of organisations interested in and working through them, and with the Assessor team including coordinating meetings; invoicing and sign-up agreements, record keeping, proactively tracking and responding to the progress of the different organisations involved. It would also include event set-up and promotion as above. • Be responsible for the logistical arrangements and coordination of the planning, delivery and follow-up of our regional Network events, including event set-up and promotion as above; venue research and booking; communications to participants, speakers, and venues; updating of records; travel plans; material collation; evaluation and report collation. • Assist with the set up and delivery of other One Small Thing events (including our annual conference when held), including event set-up and promotion as above, speaker liaison, and bookings etc. • Be the single point of contact for our training email inbox and our generic inbox. • Administer Salesforce (our Customer Relationship Management (CRM) system) and be responsible for maintaining up-to-date information for all training and Quality Mark and Working with Trauma Framework for Secure Settings records and creating reports for quarterly updates and our annual Impact Report. • Be responsible for general office duties for the London office including maintaining office stationery, booking meeting rooms, post, as well as organising occasional travel/accommodation for the One Small Thing team. • Ensure electronic information is managed and IT security protocols are always maintained. • Contribute as required to the wider work of the team and act in a manner that is in keeping with One Small Thing’s values. • Undertake any other duties as required and commensurate with the level of this post.Job tags
