Temporary Personal Assistant /Admin

Pay Rate: £10.90 per hour PAYE

Hours per week: 37 Monday – Friday, normal working hours

Role Length: This opening assignment is for 1-2 months

City: Truro, Cornwall

Enhanced DBS disclosure required for this role

The purpose of the role is to provide comprehensive secretarial and administrative support and ensure efficient running of the directorate office.

Key Responsibilities:

Develop and promote the role and profile of Business Support & Administration, in the context of corporate priorities, to staff and all internal and external stakeholders.
Do organise and schedule informal and formal meetings on behalf of the management supported, ensure they are supported to the level as required by the agreed service level agreement.
Schedule and arrange travel as required, including accommodation where needed.
Process correspondence and ensure that matters are dealt with effectively, efficiently and are within relevant timescales and deadlines.
Administration and support to any Boards / Groups as required including notes/minuting, preparation, papers collation and distribution, organisation etc.).
Support to events management.
Contribute to Service Training and Development Plans for the team.
Work as part of a multi-skilled Customer & Business Operations (CBO) Service to deliver a range of significant council processes efficiently and effectively, providing a fast, high quality and continuously improving service for customers.
Contribute to a Team Charter for the team through engagement and active participation of the team and across the Service.
Maintain confidentiality and diplomacy in dealing with sensitive issues and to be aware of the importance (and implications) of handling such matters discreetly.
Contribute towards, promote and motivate excellent working relationships within the Executive Support Service and the various departments it interacts with whether that is working remotely or face to face in a Council office.
Build and maintain good relationships with internal and external partners, promoting the organisation’s reputation as helpful and approachable.
Manage the filing and storage of all electronic and paper files for the Chief Executive, in line with best data management practice, to ensure efficient and effective record keeping.

Qualifications:

A Level” education standard or equivalent knowledge and experience with a clear understanding of the areas of work related to this post, including GCSE English and Math.

Skills & Experience:

Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
Strong understanding of diary management, ability to prioritise requests, solve problems with creative thinking and good negotiations skills, maintain security and confidentiality.
Excellent organisational skills and ability to prioritise demanding work schedule.
Knowledge and skills to undertake sole responsibility for the booking and evaluation of travel and accommodation for senior officers/members, considering budget requirements and best value, providing detailed itineraries.
Sufficient knowledge and skills to format, organise and present slides complete with speaker notes using a range of techniques for combining information, formatting and editing; combined with an ability to check content, structure and style of presentation material.
Sufficient knowledge and skills to take responsibility for managing emails, mailboxes and contact lists, ensuring all correspondence is processed and responded to appropriately, highlighting critical issues, and ensuring efficient filing and housekeeping.
Excellent interpersonal skills, ability to deal confidently with all levels of the organisation and members of the community.
Knowledge and skills to take sole responsibility for the organisation of meetings and event management including the identification and evaluation of venues and co-ordination of booking arrangements, invitations, equipment, preparation of agendas, minute taking, etc.
Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
