Events Executive

Reporting to the Head of Events, and working as an integral member of the Marketing & Business Development (MBD) team, the Events Executive is responsible for the implementation of the firm’s events and related activities which deliver business development and/or profile raising opportunities for the firm. A key element of the firm’s business plan is to generate additional revenue and grow its practices and therefore a structured approach to focused and effective marketing, PR and BD activities is required.
Main Duties
- To support the execution of the firm’s Marketing and BD strategy through the development and implementation of tailored events
- Responsible for supporting a number of a strategic annual events, including both internal and external events and analysis of what does / doesn’t work
- Supporting the team in identifying external conferences, dinners etc. to attend to achieve desired objectives
- Working closely with Marketing, BD Managers and other stakeholders, generating and managing ideas for events and initiatives, turning them into a workable format with an agreed production schedule and within budget
- Supplier management and negotiation
- Managing online events, from conception to delivery, including host briefings
- Responsibility for the management and implementation of allocated client event-related activities (working with appropriate support from across the firm as required):
- Preparation of the event brief - liaising with the Marketing and BD Team / Fee-earners regarding event strategy and finding the most appropriate solution to meet the desired objective (including research into what’s available in the market)
- Go/ No Go risk assessment and proper diligence of whether a concept is fit for purpose
- Identification of target market and collation of targeted invitation lists
- Production of event/project plan and responsibility for delivering it including co-ordination of various inputs and all elements of events planning. Including, but not limited to:
- Management of invitation design and mailing
- Venue liaison and identification of our requirements including responsibility for branded merchandise, exhibition stands and other event-related items
- Liaison with all stakeholders (internal and external)
- Supports with Events Inbox, website, CRM, internal coms and Vuture
- Front of house management
- Management of pre-event brief and post-event debrief including networking plan at the event and working with BD on co-ordination of priority action list post event, ensuring proper follow-up is initiated
- Feedback and guidance to future events following lessons-learned
- Budget management and assessment of return on investment
- Promotion to conference organisers to achieve speaking slots (with PR/Marketing Manager) and identification of networking opportunities/places and agreeing best-placed attendees
- For major speaking engagements – rehearsal of speakers
- Internal promotion and communication of the breadth, depth and quality of firm event-related activities to encourage cross-selling activities, acting as an ambassador for the firm’s Marketing and BD team and as a S+W brand ambassador representing the firm at client events.
The role
Candidate Profile
- Ideally 3 or more years of event management experience within professional services
- Strong team player, integrated within Marketing/BD and fee-earner teams
- Highly efficient and organised
- Can do attitude
- Able to act and promote oneself as a trusted advisor to senior members of the firm
- Demonstrable track record of success
- Excellent IT skills
- Strong communicator with excellent written and verbal skills
- Multi-tasker able to project manage variety of inputs and stakeholders
- Knowledge and understanding of developments within the events marketplace
- Clear understanding of the firm’s marketing objectives and ability to advise accordingly
- Negotiating skills
- Networking skills
- Ability to build and maintain strong relationships with external suppliers
- Any other reasonable duty as directed by the line manager
