From our head office and warehouse in East London, we supply clients throughout the UK ranging from small wholesalers to international blue-chip companies, some of whom have been trading with us for more than 25 years. Our business has been built on recommendation and our reputation for meeting the individual needs of our extensive client base, focusing on cost-effectiveness combined with quality.
In recent years we have been undergoing a period of expansion due to a growth in Sales Turnover and we now require additional office personnel. The introduction of our new IT Systems combined with Customer Relationship Management Software will revolutionise the way we work, saving time and effort in all departments
Role and Responsibilities
To maximise the smooth running of the sales and credit account functions within the business. To deal with all queries from existing, past and future customers, passing information to relevant staff members when necessary. Working alongside the warehouse team to deliver goods in a timely manner to help maximum customer satisfaction at all times.
Key Tasks
Core Tasks
Handle incoming customer enquires (invoicing/orders/products)
Capture and log all relevant customer information
Organise all relevant information to be sent to new customers
Receive orders and process through Sage Software and / or Spreadsheets
Send Order Confirmations and Proforma Invoices to customers for approval and payment
Liaise with the warehouse team for picking orders and check pallets before dispatch
Complete orders after dispatch to produce and update invoices. Send invoices to customers and upload to Invoice Financing function when required
Process Customer pricing from Sales Representatives
Collate, pack and send samples to customers as requested
Liaising with Freight companies to check on deliveries when asked by the customer
Check Freight Invoices weekly to ensure charges are correct, communicate with freight companies to query any charges irregularities
Order Gas and Pallets for warehouse when requested
Call Customers to obtain Orders
Introduce new Products to Existing Clients by calling them up and going through the customer Website.
Generating new business and making calls to Prospect Customers
People
Manage own diary and administration (filing daily)
Communicate regularly with Sales Director and Sales Manager, to ensure good information and work flow
Work in particular with the warehouse team
Develop and maintain relationships with customers
Key Business reporting and administration
Keep abreast of the credit status of all customers, report any out of terms customers to management
Maintain accurate concise records using the agreed systems and ensure all customer files are well organised with all relevant documentation
Provide reporting / internal communication as required
Miscellaneous
Carry out any other work commensurate with this post, or as reasonably requested by senior management
Skills & Abilities
Strong personality, superb communication skills with a clear, articulate telephone manner and excellent listening skills
Ability to build rapport and a positive and long lasting impression with customers
Professional appearance with a positive, hardworking, willing to learn attitude and able to take direction
Able to work as part of a team and under pressure
Basic understanding of MS Office (In particular Microsoft Excel)
Basic understanding of Sage 50 Software (Training will be given)
Provide assistance to other departments where required
Able to develop and review processes where needed
Able to provide a consistently high standard of service
Education and Qualifications
Desirable
Math’s & English at GCSE or local equivalent
Good standard of both written and verbal English
