Job description
Reporting to the Transport Team Manager you will be responsible for supporting the management of a fleet of drivers and transport support colleagues ensuring that they work within company guidelines. Providing a store and collection network with a first-class service ensuring operational targets are met on a weekly and monthly basis though effective use of scheduling information provided by the customer.

The Role
- Full time – permanent
- 4 on 4 off days and nights rotating.
- Inputting of daily run sheets onto spreadsheets and web-based programmes
- Filing of Transport related documentation
- General Transport Administrative tasks Filing of all transport related documentation.
- Complete daily, weekly reports/communications as and when required
- Complete small projects identify / communicate results
- Briefing drivers at the start of every shift, communicating planned requirements providing information on performance, company news and procedures
- Fully utilise MIcrolise/ESS and embrace any future system as directed by the customer
- Supporting the fleet recovery / maintenance plan
- Ensure effective and timely reporting of all vehicle defects including accidents/incidents and liaison with External 3rd party breakdown / recovery agents.
- Ensure that the Vehicle Defect / VOR Board / Spreadsheet and log are update correctly. Making sure that all VOR (Unit / Trailer) are parked in the appropriate VOR area directed.
- Provide effective and timely reports of all VOR / breakdowns to the appropriate manager.
- Ensure effective communication with stores/suppliers and deal appropriately with any complaints/issues.
- Monitor all vehicle / trip progress and replan deliveries and collections as required. Provide effective and timely communication with warehouse team.
- Ensure that the Day 1 report/daily ops report is completed and available for Shift handover.
- Ensure all reports are completed and emailed prior to the end of shift and when requested
- Undertake such additional duties as may be reasonably required for the effective operational function.
- Ensuring the department complies with the Road Traffic Act
- Ensuring drivers comply with Health and Safety regulations
- Complete safety conversations/safety sweeps as directed
- Update AVA with safety conversations/hazards/near miss/accident information
- Escalate all incidents / accidents accordingly
- Step in when required for the team manager
- Undertake additional duties as may be reasonably required for the effective operation of the function and department
The Person
- Previous experience working in an office environment
- Previous experience using Microsoft Office applications, particularly Excel
- Previous Transport experience would be preferred but not essential
- An understanding of Drivers Working Time Directive and EU Regulations is desirable but not essential
- Strong administration skills including attention to detail, timeliness and accuracy
- Ability to work under pressure and to tight deadlines
- Must have a flexible approach to working hours
- Self motivated with a ‘can do’ approach
- Good team player who can work on their own initiative
- Someone looking to progress and develop within the department and the company
- Good communicator at all levels
