About the team
The successful candidate will be joining the Risk, Quality and Assurance function, a small multi-disciplinary team that supports corporate and project governance, risk management and audits of Train Operating Companies, suppliers and internal Porterbrook processes. The team is part of the Operations Directorate reporting to the Chief Operating Officer
Key Responsibilities
Role Purpose
Manage the provision of all Project Management Office (PMO) services, so that Project Managers, Sponsors and delivery teams can deliver project outcomes that add value, whilst supporting the Head of PMO to deliver key PMO initiatives
Responsibilities - Be responsible for the provision of key PMO services (including, process administration, delivery support, assurance reviews and roadmap management) whilst prioritising workload to achieve maximum effectiveness
- Responsible for the update of the programme and project management processes/procedures, ensuring they are relevant and appropriate for the PMO service model, reflect industry good practice and define clear roles, responsibilities and accountabilities that align with corporate governance practice
- Manage the delivery and continuous improvement of monthly portfolio reporting framework/process. Reporting to be relevant and engaging to senior leaders and sponsors to enable effective decisions / actions to be taken
- Manage the delivery and continuous improvement of the monthly senior level portfolio review sessions including production of monthly senior level reporting packs for the Operations Directorate
- Conduct proactive health checks and reviews and support project teams with implementing any resulting findings and recommendations. Escalate and address non-conformance issues proportionately to their impact and the needs of the business. Support internal and external audits of projects
- Design, implement and develop effective PMO tools. Maintain a centralised repository for status reports, lesson learned data and other relevant documentations and ensure timely updates in line with agreed templates and local practices
- Support Head of PMO in championing and embedding PMO practices throughout the organisation. Initiate and lead change and continuous improvement activities and promote a culture that motivates and inspires excellent collective and individual performance
- Provision of training and support for project managers and other members of staff such that they are confident in their ability to apply and follow Porterbrook project management processes. Set up and run Lunch and Learn sessions on improvement topics
Skills, Knowledge and Expertise
General Requirements
Required
- Previous experience in a PMO environment (PMO Analyst or PMO Management role desirable)
- Previous experience in process establishing and ownership
- Ability to plan and deliver activities to meet business objectives
- Able to establish and retain good personal relationships
- Excellent interpersonal, oral and written communication skills with experience of communicating in a corporate environment at all organisational levels
- Experience of audit/ providing assurance of projects and delivery framework
Preferred
- Experience of rail industry and in particular rail projects and project reporting
Desired
- Experience using and developing dashboarding in appropriate software (e.g. PowerBi)
Qualifications
- Educated to degree (or equivalent) standard; and
- A formal project management qualification would be desirable, e.g. APM
Knowledge
- Knowledge of PMO theories and practice including maturity models, PMO Development, PMO Design and PMO Benchmarking
- Knowledge of project management methodologies, systems, processes and controls
- Knowledge of project management reporting tools
