Job description
Job summary To manage the team in the Sterile Services Department to ensure that team objectives are achieved. To carry out the receipt, disassembly, cleaning, reassembly, packing and sterilization of reusable medical devices. Record all tasks in the Healthcare Science Information Systems (tracking and tracing) database. Work in accordance with the Departments Standard Operating Procedures and Quality Management Systems. ISO13458:2016 and HTM01 01 guidance And to support the Assistant Manager in the day to day-operational control of floor management ensuring that items required are processed and despatched to users promptly in accordance with accepted standards and Trust and departmental policies. Job responsibilities Responsible for communicating all relevant information within the team to ensure the continual and efficient running of the service. Responsible for communicating with all Internal & external services to ensure the continual and efficient running of the service i.e. (I.T / transport / H.K / Portering / estates / Getinge / ) Responsible for communicating with both Internal and external customers and staff on the findings of the investigation of non-conformances, using effective interpersonal communication skills (tact, persuasion). To be able to verbally inform and write effective hand over information. To attend and actively participate in the Departments general meetings and management review meetings. Acts as a first line counsellor in welfare and disciplinary matters reporting and assisting with breaches of discipline and grievance procedures. Report all accidents, untoward occurrences to staff or equipment and ensure that the correct procedures, relevant incident forms and books are completed, and appropriate action taken regarding the safety and well-being of the staff. Provide advice and assurance to customers when responding to complaints or queries. Follow procedures for reporting missing or impaired instruments or equipment and reports findings to customer promptly and professionally. To provide relief cover for the Assistant Manager during planned absences on a rotational basis with other Assistant Floor Managers. Responsible for investigating non-conformance reports. Prepare report re findings and present to manager. To use knowledge and skills when making decisions about non-conformances Able to consider alternative ideas that benefit the customer / critical thinking /use experience of extensive instrumentation knowledge To undertake such duties as required, consistent with the responsibility of the grade and needs of the service. Managing People and Resources To provide a senior level of supervision to floor staff adjusting staff rotas where needed to ensure an appropriate level of cover. Plan and prioritise workload for the shop floor ensuring all customer requirements are met. To manage, organise and allocate work and / or train less experienced/qualified staff. To ensure Departmental Standard Operating Procedures are adhered to by all Healthcare Science staff in accordance with Quality Management Systems To maintain staff discipline and welfare. Initiating disciplinary action when necessary, in liaison with the SSD management team and personnel department. Responsible for the recruitment, selection, induction, welfare and training of technicians initiating individual personal development and appraisals. Undertake sickness absence meetings from stage 1 onwards and complete management referrals to Occupational Health in line with Improving Employee Health, Wellbeing and Attendance policy. To ensure that all staff always adhere to local and Trust policies and procedures. Responsible for the allocation of duties, responsibilities for Technicians. To listen to and resolve where possible, work-related problems encountered by team members and take responsibility for the departments disciplinary and grievance issues. To act as a mentor and a professional advisor to Technicians Ensure stock control system is maintained and adhered to and assist with the annual stock check, identifying and reporting any anomalies To manage stock of raw materials as requested and to take appropriate action on any deficiencies, assist in the evaluation of new products. Manage services under own control within agreed financial resources. Develop and implement cost saving proposals as required Scientific and Technical To ensure the team meets workload whilst consistently achieving high quality standards which will be measured by in-process checks and non-conformance reports. To manage procedures for reporting missing or impaired instruments or equipment and reports findings to customer promptly and professionally. To use manual dexterity and concentration for the disassembly and reassembly of the reusable medical devices in accordance with manufacturers instructions. To manage rewash KPIs within approved target levels. To operate decontamination equipment and carry out routine tests on at least a daily basis in accordance with planned preventative maintenance schedules, quality standards and Guidance. To manage enquiries from users and other members seeking scientific advice from the management team/Authorised engineer (Decontamination) where required. To manage a high standard of instrument and equipment care and participate in quality and production methods of control, i.e. tray tracking and monitoring of systems and equipment. To participate in the provision of a specialised decontamination of medical devices service contributing to the clinical care of the patient. Responsible for ensuring routine testing of decontamination equipment at the appropriate intervals to analyse and take appropriate action on any malfunction. To record testing of decontamination equipment. To accurately perform a full range of manual decontamination duties. To work in accordance with Departmental Policy, Standard Operating Procedures and Quality Management Systems To manage the reprocessing of reusable medical devices: disassembly, cleaning, disinfection, checking, assembly, sterilisation, despatch and tracking in controlled environment. Manage Decontamination records to comply with the Quality Manual, local procedures and relevant Health Technical Memorandums To manage the service to ensure delivery is safe, effective, and an efficient service by following current and best practice. To maintain high standards of department safety ensuring the health, safety and welfare of self and others. To develop and deliver the departments training programme and undertake training in line with the Institute of Decontamination Sciences educational framework. To have the ability to raise issues or concerns with senior staff. To maintain security of the Department(s) system. To ensure the appropriate use of all equipment and machinery in a safe and environment is maintained. To undertake the full range of duties carried out by the Sterile Service Technicians Education and training Responsible for ensuring Department procedures are understood and followed by staff on the shop floor. Responsible for ensuring staff are compliant with all statutory and mandatory training as defined by the organisation and service needs. To comply with the Departments training programme and undertake training in line with the development of the post, as agreed with the line manager. To attend relevant training courses to the post. Manage the training of new staff and their evaluation/competency assessments throughout the training period. . Responsible for ensuring shop floor staff understand the Departments Quality Policy, Quality Manual and Standard Operating Procedures to ensure that a high standard of work is maintained at all times. Responsible for training shop floor staff on the decontamination IT systems according to the authorised guidelines and protocols for use. To be familiar with data protection and storage of patient information. To have a working knowledge of Health Technical Memorandum 01 - 01 Parts A to E. To participate in the Departments external audits and assist in the audit of data held on the decontamination information systems. To lead on Internal Audits for processes on the shop floor. Analyse data and update records with regards to findings. Responsible for reviewing Standard Operating Procedures and developing new as per national guidance. Responsible for developing and implementing an audit plan to ensure quality is maintained, including overseeing the dismantling and reassembly of equipment etc. Working relationships Act as first line counsellor in welfare and disciplinary matters reporting and assisting with breaches of discipline and grievance procedures. To work as part of a team and always liaise with the Multidisciplinary Team in a professional manner.
